**Position Title**:Operations Administrative Assistant
**Location**:Commissionaires - _Nanaimo_
**Reports to**: Central and North Island Operations Manager
**Hours of Work: 8:00 AM to 4:00 PM, Mon. - Fri., (excluding statutory holidays)**
**Status**: Full-time** -** (Non-Union)
**Wage**:$24/hr (+ 2.5% RRSP contribution)

The operations administrative assistant (Ops Adm) plays a crucial role in supporting the efficient functioning of the operations department for Central Island. This position involves providing administrative assistance, handling clerical tasks, maintaining operating systems (TrackTik and InTime) and ensuring smooth communication between staff and departments.

**RESPONSIBILITIES AND JOB DUTIES**
- Assist with day-to-day operations tasks such as filing, data entry, and document management.
- Assist Commissionaires with administrative issues such as onboarding documents, vacation and/or sick requests, pay, and uniform and equipment.
- Develop and communicate work schedules for employees to ensure sites are properly staffed.
- Act as Scheduling Administrator which includes running reports, scheduling all assigned sites and ensuring personnel information is correct.
- Monitoring all training for Central Island to include at a minimum, first aid, hospital training, and on job training.
- Monitor digital TrackTik reports.
- Maintain and track uniform inventory.
- Any other duties as assigned by the Area Operations Manager.

**REQUIRED QUALIFICATIONS/EXPERIENCE**
- Possess a valid BC Security Guard Licence _or be willing to take the training course leading to a licence._
- Have an understanding of security procedures and technologies a strong asset.
- Have a working knowledge of the BC Labour Code, the Employment Standards Act for BC, the Human Rights Code and Collective Agreements for unionized employees.
- Have excellent time management and organizational skills, including the ability to multi-task, prioritize work, work well under pressure and meet deadlines.
- Must display a strong work ethic, initiative and team player attitude, and be able to maintain confidentiality.
- Must be detail oriented, proactive and strive for quality work for superior customer service.
- Have excellent problem-solving and analytical skills with both individuals and in group situations.
- Have good interpersonal skills and ability to maintain good working relationships with directors, supervisors, employees and union officials.
- Have effective oral communication skills, including the ability to listen and display empathy.
- Have effective written communications skills, including the ability to write correspondence and succinct reports.
