Office Administrator

**DUTIES & RESPONSIBILITIES**:
- Refer all inquiries to the appropriate individuals, divisions, or departments across the organization
- Administer and manage inbound/outbound mail, including priority post, packages, courier services, promotional items and other correspondence
- Travelling to Canada Post, as required
- Organize, scan and upload source documents into the document management system
- Scan bookkeeping source documents, when required
- Assists with filing, correspondence, faxing, preparation and distribution of documents and other materials, and photocopying for Professional staff as required
- Act as primary liaison between the company, staff, and office building management, providing information, answering questions, and responding to requests
- Assist in the management of building security, such as the assignment of keys for approved personnel
- Observe and report any security issues to the appropriate manager
- Manage janitorial, cleaning, repair, and maintenance service provider contracts and service level agreements
- Assist in organizing office operations such as workspace assignments and layouts
- Liaises with IT third-party provider to obtain technology support for FLPC and Trowbridge
- Maintain office equipment database
- Ensure adequate supplies of office stationery, general office supplies, office furniture, and other equipment
- As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions
- Maintain the reception in a tidy and presentable manner
- Other duties as assigned
**QUALIFICATION & EDUCATION REQUIREMENTS**:
- Working towards a post-secondary degree or diploma in the field of Business Administration /or College diploma is a strong asset
- Excellent written, verbal skills and comprehension
- Highly organized, excellent time management skills
- High degree of flexibility and adaptableness
- Excellent problem-solving skills
- Must have strong analytical skills and be detail oriented
- Able to work efficiently as a part of a team as well as independently
**WORKING CONDITIONS**:
- Occasional overtime work required throughout the year.
- Position requires in office attendance 5 days a week
**Job Types**: Full-time, Permanent
**Salary**: $40,000.00-$42,000.00 per year
