We are seeking a highly organized and detail-oriented individual to join our team as a Front Desk Receptionist in Regina, Saskatchewan. As the first point of contact for patients, this role plays a critical part in ensuring a smooth and positive experience for patients and the healthcare team. Responsibilities include patient check-in, appointment scheduling, phone management, administrative tasks, and adherence to HIPAA regulations.

**Responsibilities (Key Tasks)**:

- **Patient Check-in**:

- Greet patients warmly and initiate check-in within 5 minutes.
- Verify appointment details, update information, and confirm pharmacy, allergies, and medications in EMR with accuracy.
- **Phone Management**:

- Answer phone calls promptly with a professional tone.
- Provide necessary information, document follow-ups or messages.
- Prioritize urgent calls and ensure proper triage.
- **Appointment Booking**:

- Schedule appointments accurately, ensuring new appointments are 30 minutes and follow-ups are 20 minutes.
- Confirm patient referrals before booking.
- Review the daily schedule to avoid overlaps or errors.
- **Call Triage and Forwarding**:

- Answer, triage, and forward calls within 2 minutes.
- Log calls requiring follow-up and direct them appropriately.
- **Physician Communication**:

- Immediately document and communicate patient concerns to the relevant physician within 1 hour.
- Ensure no critical information is overlooked.
- **Administrative Tasks**:

- Collect, sort, and distribute mail within 24 hours of receipt.
- Maintain mail logs for tracking purposes.

**Qualifications**:

- Previous experience in a medical office or healthcare setting is preferred.
- Excellent communication, interpersonal, and organizational skills.
- Proficient in computer skills, including Microsoft Office Suite.
- Ability to multi-task and prioritize in a fast-paced environment.
- Familiarity with medical office software and patient management systems.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and adhere to HIPAA regulations.
- Professional and courteous demeanor.
