**SUMMARY OF ROLE**
Reporting to the Executive Director, the Volunteer & Administrative Coordinator plays a crucial role in making sure volunteers blend seamlessly into our organization's activities, which include supporting operations, program delivery, and fundraising. This position also ensures our administrative and office-related tasks run smoothly, contributing to our overall success and impact.

**KEY DUTIES AND ACCOUNTABILITIES**

Volunteer Program:

- Develop and coordinate the volunteer program to support operations, program

delivery, and fundraising.
- Develop and implement recruitment, screening, and orientation-training procedures to ensure the best volunteer-organization matches.
- Promote the volunteer program within the community.
- Maintain volunteer documentation and records using our donor software

(DonorPerfect).
- Work with staff to ensure appropriate volunteer placement and the identification of new volunteer roles or succession planning.
- Support the fundraising team with corporate volunteering opportunities to enhance community and donor engagement.
- Coordinate meaningful recognition and appreciation for volunteers.
- Coordinate opportunities for volunteers to network, receive support, and attend

trainings.
- Create and distribute an electronic volunteer newsletter using our e-newsletter

software (Constant Contact.)
- Provide required volunteer program related statistics for use in impact reports.

Administrative & Office Support:

- Provide high-level administrative support to the Executive Director, including

coordinating Board meetings and taking meeting minutes.
- Oversee the office environment, making sure it is organized, well-stocked, and

reflects a professional image.
- Manage office supplies, inventory, and equipment maintenance.
- Coordinate with external vendors for office services, such as cleaning,

maintenance, and IT support.
- Serve on the internal Culture Club committee to promote and enhance employee engagement and wellness.
- Serve on the Health & Safety committee ensuring workplace safety in accordance with the Foundation’s policies and procedures.
- Serve as a back-up to front-line program staff to help families seeking support and system navigation, as needed.

**QUALIFICATIONS & KEY COMPETENCIES**
- Education: University degree or College diploma from a relevant field, and preferably a diploma in volunteer management from a recognized Community College. Experience working for a not-for-profit is an asset.
- Volunteerism: Experience in developing and managing volunteers, ensuring a positive and inclusive volunteer culture.
- Championing equity, diversity, and inclusion (EDI) principles: Demonstrated cultural competency aligning volunteerism strategies with our commitment to EDI.
- Administrative Proficiency: Proficient in administrative and office duties, and maintaining organized records.
- Communication: Strong interpersonal and communication skills, capable of interacting respectfully and effectively with staff, volunteers, and external stakeholders.
- Problem Solving: Proactive approach to problem-solving, identifying opportunities for improvements and implementing streamlined administrative procedures.
