Payroll and HR Administrator

Reporting to the CEO, the Payroll and HR Administrator is responsible for all aspects payroll and tax and benefit related questions and components of HR activities by providing information related to labour and employee relations. This role maintains strict confidentiality of all information and works collaboratively with other team members to facilitate seamless service for our clients.
**RESPONSIBILITIES (but not limited to)**
1. All duties performed accurately and timely in adherence to Chalmers Foundation policies and procedures and the Collective Agreement, including those for Payroll, Compensation, Benefits and HR.
2. Process full cycle ADP Work Force Now, Bi-weekly (BW) Payroll.
3. Reviews and enters all daily timecard entries by department. Follows up with Dept. Mgrs. with any discrepancies / questions.
4. Performs BW processed PR audits.
5. Confirms pay scale coding, verifies, and reviews overtime coding.
6. Reviews, monitors all employee Time Off Policies such as vacation and sick leave, provides information and policy / procedure guidance.
9. Prepares annual T4 ‘s & T4 A’s
10. Maintains accurate electronic payroll records and confidential employee files.
11. Assists with identifying, documenting and implementing work / payroll process improvements, standardized forms and manuals.
12. Assists and trains other staff to perform PR role (back up employee).
13. Assists with backfill and backlog support of clerical / administrative work.
14. Respond to daily inquiries from Management, employees and outside agencies regarding PR/HR procedures, collective agreement and employment standards matters.
15. Research and provide explanation on various reports, such as attendance, seniority and other system reports.
16. Other duties as required
**REQUIREMENTS AND QUALIFICATIONS**
- Must have advanced working knowledge of ADP.
- Proven experience processing payroll.
- Strong knowledge of Canadian and Tax legislation.
- Advanced MS Office Skills (Excel / Word) required.
- Excellent interpersonal and communication skills.
- Understanding of Human Resource principals.
- Excellent analytical skills with the ability to translate analytical findings into actionable solutions / process.
- Working knowledge of benefits administration.
- Ability to build and maintain effective working relationships at all levels of the organization to provide customer service.
- Must be able to work independently with minimum supervision.
- Covid 19 vaccination is required.
**EDUCATION, TRAINING AND EXPERIENCE**
- Minimum of 5 years of Canadian Payroll processing experience.
- Minimum of 1 year in HR Administration experience.
- Minimum of 1 year of Client Services experience
- National Payroll Institute (NPI) Certification is required.
- Human Resources Certificate, or working towards attaining it, is an asset.
- An equivalent combination of training and experience may be considered.
**WORKING CONDITIONS**
- Interaction with male and female residents of all ethnic and cultural backgrounds.
- Combination of natural light and fluorescent lighting.
- Exposure to the elements (external building and property).
- Exposure to variable temperatures both hot and cold.
- Lifting alone and with assistance.
- Pushing/pulling content.
- Crouching, kneeling, stooping/bending for short periods of time.
- Walking and climbing stairs frequently.
- Standing for long periods of time.
Pay: From $65,000.00 per year
