**ADMINISTRATION & PURCHASING COORDINATOR**

**LOCATION**: Westech Nisku, AB**

**TYPE**: Full-Time; Day Shift**

**SUMMARY**:

- The Administration and Purchasing Coordinator will perform a variety of administrative functions such as front reception, purchasing support and general administrative tasks that may be required within the Company’s Manufacturing division. This position will report to the Purchasing Manager._

**POSITION REQUIREMENTS/QUALIFICATIONS**:
**_ Education/ Certification: _**
- Highschool diploma or GED required

**_ Experience: _**
- 1-3 yrs. administrative support experience within a Manufacturing environment or a similar role.
- Experience working in an ERP system, knowledgeable with JD Edwards inventory software is an asset

**POSITION RESPONSIBILITIES**:
**Admin Duties**
- Directing Phone calls
- Paging Employees & Visitors
- Greeting site visitors and ensure all requirements, including maintaining the visitor log and safety requirements are meet before visitors can enter the building.
- Maintaining Visitor logs
- General daily coordination for office supplies: toiletries, soap, batteries, printing accessories
- Planning and coordination of on and off-site employee events and functions
- Timecard setup for new hourly shop staff
- Key fob/security code setup for building entry
- Payroll: Kronos and time log support for Staff, correcting timecards, coordination of Kronos and UltiPro Time entry for new and existing staff
- Helping all staff with general questions and information, who to contact and how to contact Human Resources, etc.
- On-boarding - provide manufacturing employees with access to training login information, computer login, administration planning and coordination of online mandatory training of FST Canada Inc. requirements

**Purchasing support**
- Expediting orders that have been completed by following up with Vendors for delivery status
- Vendors order confirmations
- Verifying qty on purchase orders updating pricing on both the purchases order line in JDE and the Supplier Catalogue. Three areas require price updating in JDE, Standard Cost Update, line price and Catalogue price.
- Updating individual lead time vendor dependent
- Day to day orders managed though VMI or Consumable items. (Kanban items)
- Non-Stock inventory items
- Managing workload for 40 suppliers - RFQ with drawings, issue PO’s, follow up on past due orders, resolve order discrepancies.
- Smart Sheet order entries for Shop items: production, safety, and consumable items

**Production Support**
- Data entry for Small Production Work Orders
- Pick list printing, entering, and logging
- Upload Legacy BOM’s and Build tickets to Team drive and coordinate with Service team for better file access for service and parts departments.

**Accounting**

***Parts** **invoicing

Assist in accounts receivable as required

**Materials Support**
- Upload of Daily inventory Counts to ERP system

**Health and Safety Support**
- Uploading Training documents
- Booking onsite training and prepare training room for training sessions

- Cooperate with their workplace’s Safety Committee or health and safety representative
