**Position Summary**

Total Oilfield Rentals is currently looking for a Branch Administrator to join our team. The Branch Administrator will report to the Branch Managers and Controller. They will be responsible to coordinate and assist their assigned branch locations. They will ensure all assigned branches’ Accounts Receivable, Accounts Payable, Payroll, and Safety information is accurately captured and submitted for final processing in accordance with established company procedures. They are also the primary liaison for the Administration/Finance Department.
- This position is fulltime and is based out of our _**_Leduc _**_location._

**Time Commitment**

5 days on, 2 days off. You may be required from time to time to work outside these hours as the need arises. Schedule may be altered at the discretion of management.

**Summary of Duties (Duties may include, but are not limited to the following)**:

- Provide administrative support for all managers, dispatchers, salesperson, shop, and field staff designated to their assigned branch locations
- Liaison between each branch and head office (A/P, A/R, Payroll, HR, and Safety)
- Answering the phones in a prompt, courteous and friendly manner and directing to appropriate parties
- Serve visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival
- Maintain both outgoing and incoming mail and packages including distribution into appropriate mailboxes, interoffice mail, stamping and mail pick and drop off.
- Orders all necessary office supplies through Corporate Express.
- Purchases any groceries, cleaning supplies, etc. for the office
- Orders coffee supplies through Coffee Express.
- Orders toner for the fax/scanner/copier machine from the head office only
- Typing up of letters, reports, etc. as requested by dispatchers, branch managers, sales, operations manager, etc.
- Daily review of drivers’ logs to ensure they are completed correctly and to follow up on any queries.
- Daily entry of all rental and truck tickets onto the shared accounting database.
- Filing of tickets
- Daily coding & entering of employee timesheets into the payroll database
- Any data entries that may be required
- Generating purchase orders and receiving slips for purchase invoices from within the branch
- Ensuring chargebacks are correctly entered into accounting database and charged back correctly on the tickets.
- Maintaining all control lists and keeping them up to date (e.g. phone lists, unit lists, fuel cards lists)
- Provide additional assistance when required

**Required Competencies**
- High school diploma or equivalent
- 2+ years previous administrative experience
- Strong organizational and time management skills
- Excellent communication and numeracy skills
- Proficient in Microsoft Office, exceptional Word and Excel skills
- Strong interpersonal skills
- Ability to organize and coordinate administrative tasks
- The desire and ability to work as part of a team, or independently with little supervision when dealing with routine matters
