Executive Assistant to CEO

In this role you’ll provide advanced executive support to not only the CEO but also a select group of 3-4 high-level executives managing intricate organizational responsibilities. You’ll demonstrate your autonomy by efficiently tackling non-routine tasks to achieve objectives. This role demands a deep comprehension of the executives' organization, coupled with business acumen to effectively engage with their teams and clients. You’ll also safeguard sensitive business, financial, and personnel data with the highest level of care, confidentiality, and discretion.
**What You Will Do**
Key responsibilities include but are not limited to:
- Provide comprehensive information management support to enhance the effectiveness of the Executive.
- Manage the Executive's calendar, appointments, and travel arrangements to optimize time management.
- Gather, verify, and analyze information for the Executive's use in various documents and communications.
- Prepare documents, presentations, and official communications on behalf of the Executive.
- Coordinate agendas and logistics for Executive meetings, including room bookings and IT resources.
- Perform administrative tasks with independent judgment and discretion, representing the Executive as needed.
- Maintain confidentiality of sensitive information and ensure security of Executive records.
- Facilitate communications between the Executive and internal/external parties.
- Represent the Executive by attending meetings and speaking on their behalf as directed.
- Monitor and review expenditures to ensure budget compliance
- Plan, coordinate and execute corporate events and meetings
**What You Will Bring**
- College degree required, along with a minimum of 5 years of experience as an Executive Assistant.
- Direct experience supporting c-Suite executives, particularly Chief Executive Officers, is required
- Demonstrated ability to maintain strict confidentiality and discretion.
- Must have the capacity to quickly adapt to new technologies.
- Strong organizational skills with the ability to manage multiple tasks independently.
- Intermediate proficiency in minute-taking and excellent follow-up abilities.
- Proven problem-solving skills with a proactive approach to tasks.
- Ability and willingness to demonstrate flexibility in providing support outside of normal business hours.
- Excellent communication skills, both written and verbal, to interact effectively with colleagues, senior management, and external stakeholders.
