- As an Administrative Assistant, you will support the Fleet & Inventory Director and management team with their focus on business goals, projects, and priorities. You will perform a variety of administrative functions such as reporting, planning, scheduling, organizing and communications. Primary duties include:
- Provide administrative support to the Director and management team.
- Submit weekly and monthly Operational Services reports; consolidate and update reports for Director review and communicate feedback to Managers.
- Coordinate the Director's calendar and schedule meetings on behalf of the management team.
- Update and track vacation schedules for the management team, ensuring adequate coverage during holidays.
- Plan and support meeting logistics and prepare meeting materials for the management team, such as agendas, presentations, background materials, leader scripts and meeting minutes.
- Record and track action items and staff feedback from meetings.
- Coordinate staff engagement events, Town Halls, site visits, and frontline leader seminars.
- Enter record of site visits, safety inspections and safety meetings in a safety management system (SDMS).
- Manage administrative procedures, standards, documentation, and records for the business unit.
- Track business unit participation in corporate programs and professional associations.
- Prepare recruitment documentation and schedule interviews.
- Record project/program updates and track deadlines for project/program updates.
- Prepare and submit award submissions.
- Produce reports on overtime, unauthorized vacation, IT spending, and office space coordination.
- Purchase office supplies and catering.
- Identify and coordinate features in industry publications.
- Register employees for training courses and conferences, including travel arrangements.
**Qualifications**
- A 1 year certificate in Business, Office Administration or a related field and at least 5 years of administrative support experience, OR;
- A completed 2 year diploma in Business, Office Administration or a related field and at least 3 years of administrative support experience.
- An undergraduate degree or experience in an operational environment will be considered an asset.
- Intermediate proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, OneNote).
- Success in this position requires strategic thinking, strong political acumen, well developed communication and interpersonal skills, a collaborative approach to problem solving, strong organization and planning skills, and the ability to build and maintain professional relationships.
