Halifax, Canada Dalhousie Student Union Full time

Under the guidance of the Director of Research & Outreach, and the President, the Policy and Governance Coordinator will provide administrative and operational support for the Executive and members of the Dalhousie Student Union Council and directly and by carrying out all bureaucratic and procedural functions associated with the operation of the DSU Council. To provide advice and support to the Chief Returning Officer and the Elections Committee during DSU election and referenda periods. The Coordinator will be highly-motivated, be extremely well organized have strong policy development skills and a keen attention to detail in order that the following is achieved:
PRINCIPLE RESPONSIBILITIES:
Council Administrative and Operational Support:

- Provides administrative support to the President and members of Council on any matters relating to operation, facilitation and execution of its business.
- Ensures the bureaucratic operation of Council is executed as outlined in the Bylaws and Policy of the organization.
- Organizes the Council Chair and Secretary orientation and directly supports each throughout the year in carrying out their duties.
- Prepares Executive for Council meetings and ensures all Council meeting logistics are in order.
- Acts as the central office contact and coordinator of all DSU Council committees.
- Develops and maintains and disseminates an up-to-date calendar of key governance dates stipulated in DSU Bylaws and Policy.
- Orients and supports DSU Council committee chairs throughout the year.
- Aids in the preparation of issuing briefings and organization meeting material.
- Maintains and organizes all council related documents and records.
- In conjunction with the Council Chair, works to organize Council Orientation and helps to ensure all council members have a sound working knowledge of meeting procedures and protocols. Answers questions on procedural matters so that members can work effectively.
- Any other administrative tasks as reasonably assigned by Director of Research and Outreach or President.

Supports Internal Governance and Policy Needs
- Ensuring recent and relevant organizational policy by identifying and addressing short and long-term policy issues to be addressed and presenting options and recommended courses of action.
- Drafting needed organizational policy for review and approval.
- Establishing, maintaining and adhering to consistent policy review schedule.
- Providing clarification to the Executive and members of DSU Council on matters of procedural governance.
- When time allows, assisting societies with maintaining recent and relevant organizational policy.
- Gathering trends and best practices from other jurisdictions and student unions and soliciting input from Executive Members and key personnel.
- Coordinates with Communications and Outreach Coordinator governance updates on the DSU website and social media.
- Providing DSU Staff guidance and support in relationship to policies and bylaws.
- Identifies opportunities for governance structure improvements with accompanying proposals.
- Oversees the Governance and Council Departmental budgets.
- Assists the Director of Research and Outreach in planning and executing Executive transition.
- Assists the Executives with the hiring of Commissioner roles.
- Performing any other administrative tasks as reasonably assigned by Director of Research and Outreach or DSU Council.
- Assisting with any reasonable tasks as assigned by the President in the efficient governance of the Union.

Elections Support
- Working closely with the Elections Committee, Executive and staff to ensure that all DSU elections and Referenda are run in a fair and efficient manner according to DSU Bylaws and Policy.
- Working with the Chief Returning Officer to review referenda questions, before they are presented to DSU COUNCIL.
- Ensures all referenda questions are submitted to the University prior to the election. Ensure that all elections results are provided to the University according to University governance timetables.

Identifies Issues Policy Needs
- Researching and analyzing key external policy issues as directed by Executive Members.
- Staying current with policy trends in post-secondary education and other issues impacting students and provide analysis, policy development recommendations and other support to the Executive.
- Regularly reviewing DSU external policies and recommend updates as needed.

Provides Executive Support for Advocacy
- Works with issue specific committees in researching, gathering and presenting essential information and commentary in the form of advocacy papers with accompanying recommendations for Issue Policies to Executive Members and Council.
