Salary: 24.36$ to 27.24$ per hour according to years of experience.
Reporting to the Manager, Social Services, Psychology and Nutrition, the Administrative Officer Class 2 is responsible for the general administrative functions of the department, including reception and administrative support, as required, for radiology. He/she assists in coordinating the volunteer program, and assists professionals on the team in planning meetings, committees and other clinical/clerical activities, including scheduling appointments.
As required, he/she will work closely with the Transportation and Lodging Coordinator to manage driver schedules, transportation and lodging reservations, liaise with transportation and lodging companies, and interact with the Shriners. In the radiology department, he/she is called upon, as required, to coordinate activities relating to patient reception, as well as the management and compliance of examination requests, and manages all activities relating to the control of radiology files (reception, registration, copy requests, etc.).
**Responsibilities**:
Administrative Support
- Acts as an administrative support and resource person for the front desk, transportation coordinator and social services.
- Responsible for the management and coordination of various meetings, committees and other activities of the department head and social workers.
- Is responsible for the clinical scheduling of the psychologists
- Provides intake and scheduling for all psychological referrals from within the hospital.
- Translates documents and correspondence as needed.
- Maintains the archiving and retention of data according to the organization's procedures.
- Responsible for maintenance of Chez Fezzy Food Bank and donations received.
- Performs and follows up on internal service requests.
- Performs all other related duties.
Volunteer Program
- Receives all volunteers correspondence
- Responsible for the management and coordination of the volunteer calendar of events.
- Works with Manager to provide letters of references for volunteers, as requested
- Responsible for the creation and maintenance of volunteer records (electronic and paper).
- Collaborates with the departments required to integrate volunteers into the hospital.
- Performs all other related tasks.
Transportation and Accommodation
- Collaborates with the Transportation and Lodging Department (follow-up with accounting, follow-up with transportation and lodging providers, follow-up with families).
- Responds to requests from the accounting department for invoice follow-up.
- Collaborates in the creation and distribution of the driver's calendar.
- Performs all other related duties.
Radiology
- Coordinates activities related to the reception of patients and the management and compliance of test requests.
- Is also responsible for managing all activities related to the control of radiological files (reception, registration, copy requests, etc.).
Qualifications:
- DEP in secretariat, an asset
- 2 years of relevant experience
- Excellent communication skills (written and spoken; English and French)
- Excellent command of office automation tools
- Excellent organizational and planning skills, ability to adapt to change
- Excellent customer service skills
- Ability to work as part of a team
- Autonomy and initiative
