About The Role

What You’ll Do

Handling all aspects of the President’s schedule and travel itineraries for President

Handling incoming correspondence and inquiries for the President; exercising independent judgment preparing responses as required and/or seeking direction where required

Researching, recommending, and implementing special projects and/or initiatives as required by the President to increase operational efficiency

Preparing highly confidential correspondence within and outside the company

Writing internal communications on behalf of the President and CEO

Processing expense reports in the company system in a timely manner

Coordinating internal and external meetings including the preparation of agendas, presentations, completion, and distribution of minutes and/or action items to meeting attendees

Managing President’s Business Contacts and ensuring accuracy and up-to-date information

Vendor Management i.e., marketing firms, etc.

Events planning for broker events and annual HUB-hosted events

General office management and facilities support

What You’ll Need for Success

Minimum five (5) years of Executive Assistant experience ideally supporting at a President or CEO level

**Advanced Computer Proficiency in MS Office**: Word, Excel, PowerPoint, and Outlook

Strong sense of urgency and results-focused

Professional, positive, and courteous in all interactions with customers and co-workers.

Strong attention to detail and time management

Excellent organizational, interpersonal, written, and oral communication skills

Strong decision-making abilities to screen and prioritize the President's requests

Ability to work effectively in a multi-deadline and fast-paced environment

Excellent prioritization skills, ability to be proactive, and handle confidential material
