Administrative Coordinator, Document Conversion

The Opportunity

We are seeking an Administrative Coordinator to join our team in Edmonton. The position is a limited term with an anticipated end date of March 31, 2024. As a member of the team your role is responsible for the quality control, records management, and facilitate the management of converting regulatory submitted paper documents to electronic format. Our team is a group of diverse roles that are responsive to the needs of our internal and external stakeholders, while maintaining a focus on personal wellness and work life balance.

Your Key Responsibilities:
- Investigate and collaborate with business partners to collect regulatory information submitted under specified enactments.- Prepare and coordinate boxed paper files for shipment to and from AER, Service Alberta and third-party scanning provider.- Perform quality control audits to ensure electronic documents are legible, complete, accurate and available within a timely manner, and in accordance with AER energy regulations, Freedom of Information and Protection of Privacy Act, Information Governance Sharing Policy and Information Governance Records Management Policy.- Manage stakeholder relationships by providing information support and respond to technical inquiries from internal and external stakeholders.- Reconcile invoices monthly to ensure the invoice provided by the scanning vendor reflects the services they have provided to the AER. Escalate major discrepancies to the vendor and summarize minor discrepancies and communicate to leadership.

Qualifications:
- High School Diploma with 2 to 5 years business field experience.- Knowledge of regulatory lifecycle, the AER’s regulatory system and work of branches at the AER is an asset but not mandatory.- Experience with Microsoft 365.- Strong communication skills (written and verbal).- Excellent interpersonal skills and ability to easily establish and maintain credibility.- Ability to effectively manage multiple tasks concurrently and respond to changing priorities.- Strong attention to detail through analyzing documents for errors and inaccuracies.

Additional Requirements and Information:- Required physical demands: lift or maneuver boxes over 30 lbs.- This role has a business requirement to work from the Edmonton Regional Office.

At the end of the assignment, the employee would either return to their current role or be reassigned to an equivalent role within the organization.
