Futuremark Development is seeking a highly organized and detail-oriented Personal Assistant / Executive Assistant / Administrative Manager to join our team. This role is critical to the smooth operation of our company and requires a proactive individual who can manage a range of administrative tasks while understanding the nuances of real estate asset management and development.
**Key Responsibilities**:
- **Meeting Management**: Organize and schedule meetings for the business owner and key team members. Ensure all participants are informed of and prepared for the meetings. Take detailed minutes and distribute them promptly after each meeting.
- **Digital Ecosystem Management**: Manage and organize the company’s digital folder system, ensuring documents are accurately filed and easily accessible.
- **Calendar Management**: Oversee the calendars of the business owner and key team members. Schedule appointments, ensuring efficient use of time and avoidance of conflicts.
- **Stakeholder Communication**: Liaise with key stakeholders, including clients, investors, contractors, and team members. Provide clear and concise communication, reflecting the company’s professional standards.
- **Operational Understanding**: Gain an understanding of the company’s operations in real estate syndication, asset management, and development & construction to assist effectively in administrative tasks.
- **Document Preparation and Management**: Prepare, manage, and file important documents and reports related to real estate projects and company operations.
- **Task Coordination**: Coordinate and follow up on various tasks as assigned by the business owner or senior management to ensure timely completion.
- **Event Planning and Coordination**: Assist in planning and coordinating company events and meetings, including logistics, invitations, and follow-ups.
- **Ad-hoc Tasks**: Perform other administrative duties as required to support the efficient operation of the company including minor financial tasks.
**Qualifications**:
- Proven experience as a Personal Assistant, Executive Assistant, or Administrative Manager, preferably in a real estate or related field.
- Exceptional organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficient in MS Office and familiar with digital file management systems.
- Ability to work independently and handle multiple tasks simultaneously.
- Discretion and confidentiality in handling sensitive information.
- A proactive approach to problem-solving and decision-making.
- Experience in Notion Project Platform considered an asset.
- Experience with online project/task management programs required.
