**Job Title: Receptionist**
**Job Objective**: _The main job objective is to manage the telephone, and process all Visitors to our office in a friendly and courteous manner in adherence with the HVE policies and procedures._
**Detailed Description of Job Duties**
**Essential Job Duties/Tasks**:
- Prepare our office for incoming daily assessments by ensuring the office has adequate supplies, assigning the assessment rooms to incoming assessors, and properly stocking and sanitizing assessment rooms as required.
- Greet all incoming visitors to the office and ensure that they are signed-in and out on the visitor’s log, check I.D., explain consent form and satisfaction survey.
- Ask COVID-19 screening questions to all incoming visitors. Notify the assessor and management of any red flags to our screening questions. Wear proper PPE as required when interacting with visitors. (NOTE: Visitors are also COVID screened prior to coming into the office and are rescheduled if there could potentially be a health risk)
- Answer the telephone within three rings and transfer calls or assist with enquiries.
- Make reminder/confirmation calls regarding upcoming assessments.
- Update assessment status and enter notes in our assessment management software on the case regarding any enquires, reschedules, no-shows, etc.
- Scan and upload completed consent forms and surveys to claimant files.
- Advise Intake Department of no-shows, late cancels, incomplete assessments or any other issues regarding the assessment or the assessor.
- Chaperone assessments as required.
**Education / Experience / Certificates Required**:
- Minimum 2-4 years’ experience as a Receptionist ideally in a healthcare facility.
- Excellent communication and customer service skills
- Must be willing to work independently and able to receive assistance or coaching by telephone and video conference
- Must have valid Emergency First Aid/CPR or equivalent
- Must have intermediate level skills with Microsoft WORD and Excel
- Adapts quickly to new technology and quickly picks up on software with mínimal training
- Bilingual (English/French) is an asset
**Reports To**: Manager and Team Lead of Administration
**Hours**:Schedule to be varied as needed, additional hours as needed
**Breaks**: 1-hour unpaid lunch

- The rate of pay to be offered will be from $18.50 to $20.00 an hour (based on experience), is full time Monday to Friday, 10 am to 7pm and is a 15 minute walk from Vaughan Metropolitan Station (parking available if you drive). Please confirm this will work for you.
