As a Documentation Specialist, you'll be at the core of our operations, ensuring the accuracy and efficiency of our documentation processes. You will manage documentation requests, handle PPSA registrations, and ensure the timely and precise completion of funding packages. Your role is pivotal in maintaining the quality of our client interactions and ensuring that all credit conditions are adhered to. Essential Responsibilities

**Documentation Preparation & Review**
- Complete all new documentation requests for House, Broker, and TPO.
- Ensure House documents are produced, reviewed, and sent to Audit.
- Verify the accuracy of broker documentation before sending it to the client.
- Request and process information needed for documentation and closing (e.g., payouts, title evidence, insurance).
- Handle PPSA requests independently, including registration, searches, and waivers.
- Ensure accurate and timely completion of documentation and funding packages.
- Adhere to credit conditions.
- Gather and compile closing items for internal and external deals.
- Process incoming customer service requests promptly.
- Maintain KPIs, including clean documentation and funding submissions, 2-hour turnaround times for incoming requests, and outlined customer service levels.

**Closing Deals**
- Review signed documentation to ensure completeness (e.g., signed documents, insurance).
- Enter all required information in LS, ensuring substage completion throughout entire deal flow.
- Organize, clean, and properly name all supporting files in the client folder on the server.

**Customer Relationship Management**
- Efficiently handle all direct requests from clients and lenders after deal funding.
- Maintain high-level communication and rapport with Account Managers, Administrative Assistants, and clientele.
- Assist with client inquiries, maintenance of files, equipment sales, and discharges.

**Lease & Loan Documentation**
- Prepare loan/lease documents, create payment amortization schedules, and conduct collateral/debtor searches.
- Manage transaction closings, including PPSA registrations and audit documentation packages.
- Ensure all additional approval conditions and requirements are met.

- Education and Experience
- A Bachelor of Commerce degree or Business Administration diploma is an asset.
- Experience in documentation and closings of complex equipment finance contracts is an asset.
- Strong interpersonal and communication skills.
- Excellent administrative and organizational skills with the ability to prioritize.
- Prior customer service experience is advantageous.
- Proficiency in Microsoft Office, specifically Excel and Word, and internal systems.
