Position Overview:
Key Responsibilities:
1. Document Preparation: Assist in the preparation, drafting, and review of legal documents such as contracts, agreements, deeds, and affidavits in compliance with Quebec's notarial laws and regulations.

2. Client Communication: Liaise with clients to schedule appointments, gather necessary information, and provide updates on the status of their files. Serve as a point of contact for client inquiries and provide exceptional customer service at all times.

3. Transaction Coordination: Manage the coordination and execution of real estate transactions, including verifying property information, and ensuring all necessary documentation is properly executed and filed.

4. Record Keeping: Maintain accurate and organized records of all client files, ensuring confidentiality and compliance with privacy laws. Utilize electronic document management systems to store and retrieve documents efficiently.

5. Notarial Acts: Assist notaries in the execution of various notarial acts, including witnessing signatures, registration preparation of documents.

6. Administrative Support: Provide administrative support to the notarial team, including managing calendars, scheduling appointments, and preparing correspondence. Assist with billing, invoicing, and liaising with accounting department.

Qualifications:
1. Minimum of 2 years of experience working as a Notary's Assistant or in a similar legal support role, preferably in Quebec.

2. Proficiency in both English and French, with excellent written and verbal communication skills.

3. Exceptional attention to detail and accuracy, with the ability to prioritize tasks and manage multiple deadlines effectively.

4. Excellent interpersonal skills and a professional demeanor, with the ability to interact confidently with clients and colleagues.

5. Ability to work independently with mínimal supervision, as well as collaboratively within a team environment.

Principales responsabilités:
1. Préparation des documents : Aider à la préparation, à la rédaction et à la révision de documents juridiques tels que des contrats, des ententes, des actes et des affidavits, conformément aux lois et aux règlements notariaux du Québec.

2. Communication avec les clients : Assurer la liaison avec les clients pour fixer des rendez-vous, recueillir les renseignements nécessaires et fournir des mises à jour sur l'état de leurs dossiers. Servir de point de contact pour les demandes de renseignements des clients et fournir un service à la clientèle exceptionnel en tout temps.

3. Coordination des transactions : Gérer la coordination et l'exécution des transactions immobilières, y compris vérifier les informations sur les propriétés et s'assurer que tous les documents nécessaires sont correctement exécutés et classés.

4. Tenue des dossiers : Tenir des registres précis et organisés de tous les dossiers des clients, en veillant à la confidentialité et au respect des lois sur la protection de la vie privée. Utiliser les systèmes de gestion électronique des documents pour stocker et récupérer les documents de manière efficace.

5. Actes notariés : Assister les notaires dans l'exécution de divers actes notariés, y compris l'authentification des signatures, l'enregistrement et la préparation des documents.

6. Soutien administratif : Fournir un soutien administratif à l'équipe notariale, y compris la gestion des calendriers, la programmation des rendez-vous et la préparation de la correspondance. Aider à la facturation et à l'établissement des factures, et assurer la liaison avec le service comptable.

Qualifications:
1. Minimum de 2 ans d'expérience en tant qu'assistant notarial ou dans un rôle similaire de soutien juridique, de préférence au Québec.

2. Maîtrise de l'anglais et du français, avec d'excellentes compétences en communication écrite et orale.

3. Une attention exceptionnelle aux détails et à la précision, avec la capacité de prioriser les tâches et de gérer efficacement des échéances multiples.

4. Excellentes compétences interpersonnelles et comportement professionnel, avec la capacité d'interagir en toute confiance avec les clients et les collègues.
