Via HFR (the "Corporation") is a federal Crown corporation operating in a complex legal and regulatory environment. It contributes directly to the procurement process led by the Government of Canada to identify a private developer partner for the new passenger rail infrastructure project between Quebec City and Toronto.
Once this partner has been identified, the Corporation will work with it to design and develop the project. The Corporation reports directly to the Parliament of Canada through the Minister of Transport.
The legal secretary assists VIA HFR's Legal Affairs and Corporate Secretary team members in carrying out their various mandates. That team is made up of a vice president, a corporate secretary and several legal advisors. In the course of their duties, the legal secretary must exercise rigour, discretion, cooperation and efficiency.
**The main responsibilities of the position include**:
- Document management: Ensure the proper management of electronic documents processed by the team, including participation in and filing of contracts, and proper electronic storage of documents produced and received by the team, such as legal opinions and reporting documents;
- Organization: Assist team members in the organization of meetings they convene, and in particular the Corporate Secretary in planning and organizing board and board committee meetings (e.g., preparation of meeting schedules and meeting books on Diligent, room reservations) as well as while meetings are in progress;
- Administration: Contribute to the administration of the VP's budget, including the production of expense reports, the preparation and monitoring of budgets and the processing of invoices from external legal advisors;
- Clerical work: Support team members in the preparation of legal and corporate documents (e.g., printing, editing);
- Any other related duties.
**Requirements**:
- High school diploma (mandatory);
- Diploma in Vocational Studies (DVS) in legal secretarial practice (an asset);
- A minimum of 3 to 5 years' experience at a law firm or in the legal department of a large corporation;
- Excellent oral and written proficiency in French and in English;
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint);
- Proficiency in Diligent software (asset);
- Thoroughness and attention to detail;
- Good organizational skills;
- Sense of initiative and autonomy;
- Good interpersonal skills;
- Ability to manage a high volume of files simultaneously.
