**Description de l’emploi**

Travailler au sein d'une agence immobilière spécialisée dans le courtage immobilier de prestige Engel & Völkers Montréal, la coordinatrice de bureau sera requise de supporter et de travailler avec l’équipe de courtiers dont les besoins varient en fonction des délais et des activités en cours.

**Principales responsabilités**
- Présence au bureau et coordination au niveau de la réception des commandes et courriers
- Saisie à la source (CENTRIS)
- Courriels/Classements des dossiers;
- Gestion des dossiers électroniques (Faltour-Nexone);
- Aider et appuyer les courtiers attirés au bureau selon leurs besoins (Préparation des matériels de marketing pour présentation des courtiers - livres, boites, présentations Power Point)
- Coordonner des envois postaux (routes, documents Poste Canada - avec Cibleur précis)
- Révision et traduction des textes et montages à l'interne dans les deux langues officielles (français et anglais)
- Veiller au bon fonctionnement et propreté du bureau (espaces bureau, réception, espaces de travail, cuisine, entreposage, etc.)
- S'assurer du fonctionnement des télés et mise à jour des inscriptions diffusées
- Et toutes autres tâches connexes reliés au poste d'adjointe administration et demandes de natures variées provenant de la direction.

**Compétences et Expérience**
- Le Bilinguisme est obligatoire (compétences de communication efficace en anglais et en français tant verbal qu’à l’écrit);
- Compétences en informatique: Word, Excel, and Powerpoint (Idéalement sur un MAC
- Adeptes sur l’internet (compétences sur les médias sociaux);
- Solides compétences organisationnelles et souci du détail;
- Ponctualité, capacité de multitâches et de respecter les délais;
- Capacité de travailler et gérer un environnement stressant, ainsi que la capacité à s’auto-motiver pendant les périodes calmes;
- Professionnalisme, le tact, la maturité, la flexibilité et la discrétion;
- Comportement positive, énergétique, serviable, avec un esprit d'équipe et un sens pratique.
- Expérience de 5 ans en tant qu'adjoint(e) en immobilier un atout, cette offre n'est pas pour les courtiers.

**Job Outline**

Working for luxury real estate agency Engel & Völkers Montreal, the Office Manager is required to work with and support a team of real estate brokers whose needs vary on time frames and ongoing activities.

**Key Responsibilities**
- Presence at the office to coordinate and receive orders, deliveries and mail;
- Brokerloading (Centris)
- Managing electronic documents (Faltour-Nexone);
- Assist and support brokers according to their needs and requests (Preparation of listing presentation material, books, boxes as well as Power Point Presentations campaigns, to name a few)
- Coordinate Postal Mailings (routes, waybills - with Poste Canada Precision Targeter tool)
- Review and translate internal texts and posts in both official languages (French & English)
- Ensure the proper functioning and cleanliness of the office (office space, reception, work areas, kitchen, storage, etc.)
- Ensure the functioning of the TVs and the updating of the broadcasted registrations
- And all other tasks related to the position of an administrative assistant and various requests from the management.

**Key Competencies, Skills and Experience**:

- Bilingualism is a must (effective verbal & written communication skills in both English and French)
- Proficient in computer skills: Word, Excel, and PowerPoint (Ideally on a Mac)
- Tech (basic installation of printer, troubleshooting on broker's laptops) & Internet savvy (social media skills)
- Strong organizational skills and attention to detail
- Punctuality, and the ability to multi-task and to meet deadlines
- Ability to work in and handle a stressful environment, as well as the ability to self-motivate during quiet periods
- Professionalism, tact, maturity, flexibility and discretion
- 5 years of experience as an administrative assistant within a real estate agency is an asset, this offer is not for brokers.
