The goal is to ensure that office operations are efficient and add maximum value to the organization.

**ROLE & RESPONSIBILITIES**:

- Greets all visitors and direct them accordingly, offer a refreshment, and ensuring every visitor signs in and out according to company policy, ensure the guest is seated in the boardroom or greeted by the meeting host;
- Responsible for organizing food deliveries for lunch meetings, when requested. Responsible for ensuring the delivery is set up in the appropriate boardroom;
Ensure reception and supply room(s) are all kept clean and well organized:

- Office stock and supplies to be maintained and purchased from various vendors
- Purchase and maintain xerox machine equipment (toners, drums, cartridges)
- Arrange and schedule Xerox maintenance when it applies
- Coordinate vendor pickups to empty shredding bins, Coordinate Plant Vendor and payment
- Coordinate building maintenance for any office repairs or emergencies

Responsible for keeping in contact and managing the office cleaners:

- Organize off site or emergency cleaning services
- Responsible for purchasing special requests for office equipment supplies from various departments;
- Responsible for all outgoing shipments via various courier services and updating brokerage information for incoming packages;
- Responsible for accepting office deliveries and distributing them to the appropriate department.
- Responsible to coordinate office equipment pick up and deliveries
- Responsible for ensuring boardrooms are not being double booked. Also ensuring that boardrooms are being left clean, presentable, and stocked with supplies between uses.
- Disburse, order and track petty cash by recording entries and verifying documentation;
Responsible to coordinate various tasks for the office fleet:

- Coordinate and update license plate renewals for all Quebec vehicles
- Coordinate vehicle maintenance for repairs with dealership and vendors
- Coordinate vehicle detail for office vehicles and various departments with vendor
- Ensure vehicles are equipped with safety equipment, and are complying with company policy
- File and maintain original vehicle documents
- Track shared office vehicle usage and ensure vehicles are signed out when in use.
- Fleet/vehicle maintenance and management
- Gas card tracking and account setup.
- Vehicle logos must respect the Quebec standards.
- Helping with ordering vehicles when applicable.

Ensure the kitchen and lounge area are kept clean and well organized:

- Order and maintain groceries and kitchen cleaning supplies with vendors
- Order, accept deliveries and maintain specialty items with various vendors
- Clean and maintain coffee machine, order any cleaning or maintenance supplies for specialty machine
- Keep fridge stocked
- Maintain and organize maintenance for kitchen equipment as needed
- Responsible for organizing office lunch/breakfast at multiple locations. This task includes organizing the menu with the vendor, ensuring the budget is met, organizing the payment, accepting the delivery, and setting up the kitchen for the event.
- Responsible for assisting with travel/flight/hotel arrangements to and from the Montreal/Toronto Offices
- All other duties as assigned.

**QUALIFICATIONS**:

- Proven experience as an Office Management
- Experience in customer service will be an asset.
- Experience management suppliers
- In-depth understanding of office management procedures
- Working knowledge of office equipment - printer/copy machine/scanner
- Excellent time management skills and the ability to prioritize work
- Reliable with patience and professionalism
- Analytical abilities and aptitude in problem-solving
- Strong organizational skills with the ability to multi-task
- High School Diploma and/or BA in business administration or relevant field is a plus
