**Recruitment range: $65,488 - $69,350** maximum starting salary is determined through knowledge, experience and internal equity.

**Performance range: starting salary to max of $73,481 **is available through annual performance increases.

- Job SummaryThe Executive Assistant supports the efficiency and efficacy of office operations including calendaring, minutes, coordinating communication, editing reports, and other administrative tasks. The role acts as a point of contact between the VPFO and other university staff, stakeholders, and partners, and the ability to build and maintain positive relationships is critical to this role.

The Executive Assistant also provides administrative support to other leaders in the portfolio including (and not limited to) the Associate Vice-President Financial Planning & Operations, the Executive Director, Financial Services, and the Director, Strategic Initiatives and Projects.

This position works on a team with Project & Communications Officers and often collaborates with leaders and staff within the VPFO Portfolio and across other Executive Portfolios.
- Job RequirementsThis position requires a level of education, training, and experience equivalent to at least 3 years of office experience working within a complex organization and with senior leaders.

**Knowledge/Skills/Abilities**:

- Effective communication skills with various stakeholders, including students, faculty, staff, and external partners.
- Effective time-management skills and an ability to manage calendars, schedule appointments, coordinate meetings, and keep track of various tasks without prompt
- Experience using Outlook, Excel, Word, and SharePoint and an aptitude for learning new software and systems
- Attention to detail for accurate documentation, record-keeping, and maintaining the integrity of communications and information.
- Ability to maintain confidentiality of information related to the organization and its employees

**Ability to gain the following knowledge and skills within 1 month**:

- Knowledge of the functional areas of the university and of the university's senior administrative structure
- Knowledge of the policies, procedures, and governance most relevant to the regular operations of the VPFO portfolio

**Preferred skills and qualifications**:

- Experience in coordinating budgets and expenses
- Experience in preparing clear and concise written material including reports, presentations, and briefing materials for senior leaders
- Undergraduate university degree preferred
