Position Summary:
Under the direction of the Director of Islamic Studies, is responsible for the administrative operations of the department in support of teaching and research. Plan and administer the unit's budgets, finances and grants. Liaison and resource person on academic and non-academic policies and procedures. Responsible for academic activities related to promotions and tenure, sabbatical leaves, leaves of absence, immigration and academic recruitment. Also responsible for non-academic matters, student affairs and activities related to research grants and annual reports. Participate at committee meetings. Supervise support staff.

Primary Responsibilities:
1. Resource person on all matters in relation to policies and procedures, accommodation and travel policies, students, granting agencies, research scholarships and fellowships, budget and finance, hiring and appointments, HR policies, and academic policies

2. Analyzes complex problems and determines course of action; provides advice and recommendations to Director and faculty on problem resolution. Executes decisions reached at meetings.

3. Plans, develops, and implements administrative procedures, policies and processes that require complex analysis and decision-making and are in support of the Institute’s goals and objectives and the University's overall mission of teaching and research.

4. Initiates production of and compiles statistical data for reports such as Budget Planning, etc. and produces draft reports and finalizes them after consultation with the Director.

5. Develops and oversees all budget planning and maintenance for the unit, notably as part of the Budget Development Exercise. Supervises and manages all accounting and payroll procedures for operating, endowment, and research funds. Maintains the operating budget, endowment funds and research funds for compliance to standard accounting procedures, granting agency guidelines and under/over expenditures; ensures compliance with terms of donor gift agreements.

6. Plans the physical resources of the unit or building, ensuring compliance with university and government regulations, and exercise budgetary controls for renovations and maintenance projects.

7. Oversees HR operations of the institute

8. Analyzes administrative problems, determines course of action, and provides advice to faculty, department, or unit on problem resolution.

9. Supports student affairs and academic administrative activities.

10. Supervises administrative staff and evaluates progress of assignments and results.

Other Qualifying Skills and/or Abilities- Knowledge of the University’s academic and administrative policies.- Ability to make decisions, analyze information, set and change priorities.- Ability to prioritize and multi-task in a deadline-oriented environment.- Ability to work with students, faculty and stakeholders from diverse backgrounds.- Knowledge of Quebec immigration law is an asset.- Knowledge of student affairs is an asset.- Ability to communicate with tact and diplomacy.- Proven ability to adapt to change and show initiative- Excellent communication and writing skills.- Demonstrated ability to work in a PC environment using word-processing, spreadsheets, data bases, WorkDay, Banner (FIS, SIS, HRIS) and Minerva.- Ability to speak and write multiple languages an asset (ex: English, French, Arabic, Persian, Urdu, Turkish)- Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
