Nature of work:

- The job of Administration Officer involves more specifically realizing day-to-day administrative programs and processes for one or more College services.**Responsibilities**:

- Working with the Human Resources team and under the authority of the Coordinator of Human Resources, and dealing with a high degree of confidentiality in all matters pertaining to the position, the incumbent will:
- Provide advice and interpretation of the Collective Agreement regarding the faculty staffing to the Registrar, Continuing Education, and departments chairs/staffing coordinators;
- Is responsible for the verification of non-permanent teaching workloads distribution according to the Collective Agreement; tenure confirmation; changes to employment contracts for faculty;
- Provide employees with information and guidance regarding Collective Agreements;
- Ensures that the activities related to the Placement Office (Bureau de placement) are completed according to the calendar of operations;
- Coordinate the process of the determination of remuneration for teaching personnel: the evaluation of scolarity and experience, advancement of echelons, and the resulting transmission of data to payroll;
- Oversee the processing of all non-medical leaves of absence provided by the Collective Agreements (e.g. personal, professional development, voluntary workload reduction and sabbatical plan), and verify that they are appropriately processed;
- Continually assess and improve processes and systems for the operations of the faculty dossiers. Implement new technologies or procedures to enhance efficiency and security of document management.
- Participates in the elaboration of College policies and guidelines pertaining to the faculty dossier;
- Make recommendations to management in matters related to the scope of his/her activities;
- Assist with the coordination of the workload and supports staff as required;
- All other related duties.

**Requirements**:

- Qualifications:

- An undergraduate degree in an appropriate field of specialization, particularly administration (Human Resources).
- Conditions:
- 3 to 5 years of experience as a Human Resource Generalist is required;
- Relevant experience in the field of human resources in a unionized environment is preferred;
- Demonstrated ability to deal effectively with people and able to handle sensitive situations;
- Able to maintain department standards with respect to the confidentiality of information;
- Analytical thinker and independent problem solver; must be able to bring initiatives and projects to timely completion;
- Advanced oral and written communication skills in English and intermediate French (testing may be required);
- Advanced Microsoft Office skills and familiarity with HRIS software (testing may be required).
