Office Administrator

Proposed Start Date: June 5, 2024 (flexible)

Contract length: 12 months - with option to renew into permanent position.

Hours: 25 hours a week.

Compensation: $22 to $26 depending on experience.

We are a small accounting/tax firm located in NDG with a focus on serving Montreal's professional community, drawing on our own experiences as artists and musicians. We work with individuals as well as corporations on all accounting and tax matters. The foundation of our business is the trust we have built with clients through hard work, thorough communication, and honest interactions. It is through these relationships that we further our mission to increase financial and tax literacy within our community.

Tasks and Responsibilities:

The Office Administrator is primarily responsible for:

●        Client Reception (Phone, general company email inbox, greeting walk-ins)

●        Providing administrative support to tax team

●        Opening and maintaining client files using firm tools

●        Scheduling appointments

●        Preparing and following-up on client invoices

●        Preparing administrative reports with government agencies

●        Sorting, organizing and archiving client information in company database

●        Communicating with government agencies

●        Managing company e-sign software and procedures

●        Preparing various memos and communications

●        Other administrative tasks as the company grows

Qualifications:

At Creative Taxes, we recognize the value of both paid and unpaid work. We encourage applications from candidates who meet some or all of the following qualifications:


●      AEC, DEP, DEC or BComm in accounting or administration

●      Minimum 2 years of relevant experience including:  Office Administration or Tax preparation

●        Experience designing and implementing procedures for a growing company

●        Understanding of different levels of taxation

●        Proficient in Microsoft Office suite (Word, Excel, Outlook and Sharepoint)

●        Experience using QuickBooks and DT Max

●        Ability to write and speak in French and English 

●        Availability to work full-time during tax season


Successful Candidates Will Possess the Following:

We are looking for someone who brings a desire for helping people, an aptitude for problem-solving, and strong interpersonal skills to join our team. Other qualities include:

●        Highly detail oriented, especially with spreadsheets and databases

●        Ability to be organized and prioritize tasks

●        Ability to work well under pressure of deadlines 

●        Desire to learn about corporate and personal tax

Tâches et responsabilités :

L'administrateur de bureau est principalement responsable de :

●           l’accueil des clients (téléphone, boîte de réception de courrier électronique de     l'entreprise,  accueil des visiteurs) ;

●           fournir un soutien administratif à l'équipe fiscale ;

●           l’ouverture et la mise à jour des dossiers clients à l'aide des outils de l'entreprise ;

●           la planification des rendez-vous ;

●           la préparation et le suivi des factures clients ;

●           la préparation de rapports administratifs avec les agences gouvernementales ;

●           trier, organiser et archiver les informations relatives aux clients dans la base de données ;

●           la communication avec les agences gouvernementales ;

●           la gestion du logiciel et des procédures de signature électronique ;

●           la préparation de divers mémos et communications ;

●           toutes autres tâches administratives au fur et à mesure que l’entreprise croît.

 

Qualifications:

Chez Creative Taxes, nous reconnaissons la valeur de l’expérience rémunérée et non rémunérée. Nous encourageons les candidats qui répondent à une partie ou à l'ensemble des critères suivants à poser leur candidature :

●      AEC, DEP, DEC ou BComm en comptabilité ou en administration

●      Minimum de 2 ans d'expérience pertinente, y compris: Administration ou Préparation d’impôts

●    Expérience dans la conception et la mise en œuvre de procédures pour une entreprise en croissance

●    Compréhension des différents niveaux de taxation

●    Maîtrise de la suite Microsoft Office (Word, Excel, Outlook et Sharepoint)

●    Expérience avec QuickBooks et DT Max

●    Capacité à écrire et à parler le français et l’anglais

●    Disponibilité pour travailler à temps plein pendant la saison des impôts
