Sarnia, Canada ASI Group Ltd. Full time

Provide high-quality, efficient administrative support to management and staff
- Assemble proposals and reports by compiling, consolidating, formatting, and summarizing information
- Format, proofread, and distribute documents in a deadline-driven environment
- Proofread documents and correspondence for spelling, grammar, and formatting
- Prepare and distribute correspondence, invoices, and various documents with a high level of accuracy following specific company procedures
- Assist the Accounting Department with coding invoices
- Coordinate travel arrangements for staff
- Assist project managers in responding to requests for proposals and vendor prequalification requirements
- Provide general reception coverage
- Process incoming/outgoing mail and courier packages
- Maintain overall office appearance
- Proactively purchase office supplies and monitor inventory of supplies
- Maintain office organization, including archiving and filing systems
- Perform administrative procedures in accordance with the company Quality Management System (ISO 9001:2015)
- Provide support on health and safety initiatives such as gathering data or submitting documents to clients
- Support meetings and events by arranging venues and refreshments and taking meeting minutes as needed
- Completes data entry on various systems
- Respond to requests from ASI Group’s corporate office
- Other administrative duties as required

**Requirements**:

- Post-secondary education in a related field (office administration, business administration)
- A minimum of two years’ experience in a related role
- Experience with flowcharts, graphs, technical documentation and scheduling
- Exceptional writing, editing and proofreading skills
- Proficient in compiling and preparing excellent quality documents and presentations
- Detail-oriented with the ability to document comprehensive project notes and records
- Demonstrated willingness to be flexible and adaptable to changing priorities
- Able to prioritize work to meet deadlines despite frequent interruptions
- Outstanding customer service skills and ability to work in a team setting
- Excellent proficiency in MS Office 365 (SharePoint), Adobe (Acrobat DC, Creative Cloud,) Microsoft Excel, Word, PowerPoint. Experience with CorelDraw considered an asset.
- Holds and maintains a valid driver’s license and passport
- Must be fully vaccinated for Covid-19

**Hours of Work and Travel Expectations**

Scheduled hours are 8:00am-5:00pm Monday to Friday; may be expected to arrive early or stay later as needed plus occasional errands within the Sarnia area.
