**SUMMARY OF DUTIES**:
Reporting to a City Councillor, assume responsibility for providing constituency outreach and strategic planning by monitoring current issues that may have an impact on the constituency and is responsible for providing a comprehensive range of confidential secretarial services and administrative support to the Councillor of City Council. Work independently on multiple activities and ensure deadlines are met and established procedures are followed.

**GENERAL DUTIES**:
Provides constituency outreach and strategic planning by monitoring current issues that may have an impact on the constituency. Analyse and report on strategic and policy governance projects.

Undertakes research and analysis for the Councillor with respect to policy matters and departmental services/programs as they relate to constituency/public inquiries and concerns. Discuss same with City staff for appropriate actions and response.

Provides liaison between the Councillor, the Mayor, and other members of Council and his/her staff, as well as City staff with respect to corporate initiatives, services, programs and issues affecting the Councillor and his/her constituents.

Prepares and co-ordinates general presentation materials and/or speeches for the Councillor when necessary.

Ensures the Councillor is prepared with the required briefing material for meetings of Council, Committees and other meetings.

Arranges public meetings, meetings with constituents and other community events. Assists and/or represents the Councillor at meetings and events.

Works in accordance with the provisions of applicable health and safety legislation and all City of Hamilton corporate and departmental policies and procedures related to occupational health and safety.

Performs other duties as assigned which are directly related to the normal functions of this position with mínimal supervision and direction.

Assume responsibility for all routine administrative details within the Councillor's Office.

Schedule appointments, arrange meetings, book facilities, and inform participants of arrangements.

Liaise with local officials, government agencies, outside organizations and the constituents and follow-up as needed.

Maintain on an ongoing basis a detailed follow-up system for correspondence, calls, invitations and inquiries.

Work independently on multiple activities and ensure deadlines are met and established procedures followed.

**QUALIFICATIONS**:
1. Previous experience related to duties listed above normally acquired through the completion of an Office Administration Program or an equivalent combination of education and related work experience.

2. Progressively responsible experience at a senior secretarial level, with excellent stenographic skills, including shorthand and electronic transcription.

3. Must be cognizant and respectful of confidentiality.

4. Demonstrated experience in preparation of reports.

5. Must have a high level of accuracy and speed in preparation of written communication.

6. Must relate readily to the public and outside agencies, have a pleasant manner, have initiative and the ability to carry out instructions without detailed direction.

7. Proven experience in strategic planning, policy analysis, economics or demographics.

8. Must possess maturity, initiative, good judgement and the ability to take on a leadership role and to mentor junior staff.

9. Must be able to interpret municipal legislation.

10. Must have effective verbal and written communication skills.
