This position will be working out of Fall River’s office located in Courtenay, B.C. and is responsible for office administration functions including data entry and filing. Responsibilities include providing support in accounts payable and payroll, as well as general office administration.

**REPORTING RELATIONSHIPS**

This position will report directly to the Controller.

**DUTIES & RESPONSIBILITIES**

**Accounts Payable**
- Data entry focused on supporting accounts payable
- Process accounts payable transactions to ensure finances are maintained in an effective, up to date and accurate manner
- Reconcile AP vendor statements - monthly
- Ensure invoices are posted into the system accurately and on time
- Ensure EFTs are processed as per accounts payable schedules
- Maintaining the accounts payable ledger, credit balances and resolve account irregularities
- Ad hoc AP an AR duties as necessary
- Help field staff with expense & gear reimbursement forms
- Outgoing mail and courier
- Setting up new vendors and verifying account information such as banking details, GST numbers and WCB as required
- Filing of accounts payable invoices and remittances
- Ensure all invoices are in the system by the 5th business day of each month

**Payroll & Benefits**
- Complete payroll functions in order to ensure employees are paid in an accurate and timely manner.
- Maintain updated employee records capturing changes in address, wage and salary and employee status (new hire, terminated, on leave etc.)
- Ensure all timecards are coded correctly and entered in a timely manner into the accounting software
- Assist with administering group benefits plans, union dues and pension programs
- Process bi-weekly payroll for union and non-union employees ensuring appropriate deductions and liabilities are captured including federal and provincial income taxes, pension, union dues etc.
- Monitoring and maintaining employee deduction and liability balances, vacation accrual balances and union seniority listings
- Verify related journal entries and prepare GL account reconciliations
- Responding to queries from employees on pay and benefits
- Assist with preparing ROE’s and T4’s as required

**Administrative Support**
- Provide administrative support as needed in order to ensure effective and efficient office operations.

**EXPERIENCE AND QUALIFICATIONS**
- Excellent working knowledge of Microsoft Office program suite. (Excel, Word, Outlook etc.)
- Experience in an admin role considered an asset.
- Familiar with ERP use. Vista ERP knowledge considered an asset.
- Experience in the logging and forestry industry considered an asset.
