Executive Assistant

**Responsibilities**
- Schedule and attend Leadership meetings; create agenda and take meeting minutes as required
- Manage flights, accommodations, event registrations, and vehicle rentals for Principal Partner
- Manage expense claims and receipts for Leadership and approve expense claims for staff
- Manage corporate card accounts for staff
- Deposit cheques and send record to accountant
- Process various invoices via cheques and digital banking systems
- Communicate with all service providers
- Collaborate with the administrative team to uphold a well-organized and tidy office environment
- Client expense filing, bookings, and invoicing
- Software account and password management
- Update membership profiles for the organization and the Principal Partner
- Run errands for Principal Partner and Narratives as needed
- Available for after hours coverage as needed
- Assist with onboarding and offboarding responsibilities as needed
- Other administrative duties as needed
**Qualifications**
- 3-5 years previous experience in an administrative role
- Exceptional organization skills and attention to detail, with the ability to manage multiple tasks and deadlines with confidence
- Ability to adapt to and manage a constantly changing, dynamic workflow with proficiency, competency, and calm
- Ability to work independently
- Proficient and knowledgeable in computer software programs, specifically MS Word and Excel
- Must have a drivers license and willingness to travel as requested to attend client meetings
- Technological competence: experience working with office equipment
- Positive and willing attitude
- Must demonstrate discretion with confidential information
- Exceptional writing, analytical, and communication skills
- Ability to communicate with diverse audiences

**Salary Range: $63,500 - $66,500**
