We are seeking a dedicated and customer service-oriented Office Manager to join our team and oversee the efficient operation of our office. Located on a whole floor within the Jameson House building in Downtown Vancouver, we rent out office space and boardrooms, as well as provide virtual receptionist services.
**Responsibilities**:
**Reception Services**:
- Answer incoming calls and direct them to the appropriate individuals or departments.
- Welcome visitors, clients, and employees, ensuring a professional and friendly atmosphere.
- Prepare coffee in the morning for tenants.
- Assist individual clients with tasks such as handling packages, printing, and mail.
**Office Maintenance**:
- Maintain cleanliness and tidiness of the office premises.
- Wipe down tables and ensure the boardroom is presentable for meetings.
- Move furniture around the office as required for new tenants.
- Coordinate and oversee office showings for potential tenants.
**Customer Service**:
- Provide exceptional customer service to clients and visitors.
- Address inquiries and resolve complaints in a professional and timely manner.
- Assist clients with individual tasks and ensure their needs are met.
**Administrative Tasks**:
- Order office supplies, ensuring an adequate inventory is maintained.
- Generate and manage invoices for services provided.
- Handle mailing and shipping of items as required.
- Assist with writing contracts and ensuring their accuracy.
**Advertising and Virtual Reception Service**:
- Create and post advertisements, including Craigslist ads, to attract potential tenants.
- Coordinate virtual reception services to ensure efficient call management.
**Qualifications**:
- Previous experience in a similar office management or administrative role is preferred.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Customer service-oriented mindset with the ability to handle various client needs.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Attention to detail and ability to prioritize tasks effectively.
- Knowledge of basic maintenance and cleaning practices.
- Availability to work on-site during office hours (8:30 am to 5:00 pm).
