Our Administrative Coordinators,

As Canada’s largest residential landlord, CAPREIT prides itself on our customer service and the smooth operation of our properties. Our Administrative coordinators report to the Associate Vice President of Operations / Managing Directors and provide service for both staff and residents. They are primarily responsible for providing administrative support in order to ensure effective and efficient follow-up of communication within their region.

Responsible for providing administrative support to the regional operations group in order to ensure effective and efficient follow-up in regards to H.R., Life and Safety and administrative duties. Service the staff and the residents in a prescribed portfolio in accordance with CAP REIT policies and guidelines.

**Responsibilities**:

- **_
HR_**
- Complete Hiring package forms
- Assist and support new employees, as well as training coordination
- Liaise and facilitate employee concerns with Head Office
- Co-ordinate the collection of timesheets and Payroll directions to Head Office
- **_ Clerical work_**
- Answer phones and tenant inquiries
- Manage response letters to tenants and building notices
- Transfer office management - courriers, supplies, etc.
- Monitor and submit RFA’s
- **_Administration_**
- N1, N4 administrative assistance (Schedule RTB hearings etc) or other forms required as per provincial legislation.
- Keep records and manage required permits and licences
- Request and follow up on Requests for Major Work (RMW)
- Monitor Petty Cash and enter office expenses into Concur
- Issue NSF Letters to the residents
- **_ Life & Safety _**
- Follow-up and update records (ie. Fire logs, City Work Orders & Violations logs - monthly and annually)
- Monitor Letter Of Acknowledgement (LOA) management, fire drills, safety inspections, and provide sites with missing LOA reports
- **_ Other_**
- Create monthly calendar for sites to follow
- Audit lease terminations to ensure that the sites have terminated tenant’s properly in the system
- Run move in/out reports and forward to sites
- Enter crew timesheets in ezLabor (14 employees)
- Plan special events
- Program the “One Stop” boards for the sites
- Other projects as assigned by AVP, Operations/Managing Director

**Qualifications**:

- 1-2 years experience in an Administrative Capacity
- Excellent computer skills
- Attention to detail and high level of accuracy
- Ability to handle multiple priorities and tight deadlines
- Effective verbal and listening communications skills
- Effective written communications skills
- Excellent interpersonal skills
- Ability to service customers
