We are currently seeking a **Manager Assistant (**12 month contract) to join our team. Reporting to the Manager of Administrative Services, the Manager Assistant will provide confidential, accurate, and timely administrative support within CARF accreditation standards; DBIS policies, procedures, programs and protocols. Excellent organization, attention to detail, and strong written and verbal communication are important qualifications for this position. In addition, advanced level proficiency with MS Office - Word, Excel, PowerPoint, and Outlook is required in this role.
**Work Responsibilities**
- Provide administrative support to the Administrative Services Manager and other staff within the department.
- Schedule and coordinate team meetings, prepare agendas, records and accurate minutes.
- Liaise with other departments and committees to coordinate work and obtain information.
- Maintain appropriate and accurate client records according to accepted standards and practices.
- Process and manage time off and vacation requests as required to support the Administrative Services Manager.
- Arrange meeting rooms, meals, and audio visual and equipment services for meetings/events.
- Edit, construct and format reports, proposals and other technical documents.
- Monitor the budget by tracking spending, petty cash, reimbursements, and maintain records.
- Complete and submit payroll data, sick time, and overtime and call-ins paperwork as directed by the Administrative Services Manager.
- Shared reception duties include customer service assistance to mail/couriers, employees, and clients of the office and backup/break coverage for others. Perform other administrative duties such as data entry, copying, collating, faxing, filing, document retrieval, word processing, transcription and document scanning.
- Demonstrated practice and commitment to the principles of family and client centered support.
- Establish and maintain positive professional relations with clients, employees, external community agencies, services, professionals, family members and other contacts.
**Essential Qualifications**
- Degree or diploma in Office Administration or similar discipline from a recognized educational institution. Other post-secondary diplomas or degrees may be considered with experience.
- Previous experience and demonstrated proficiency in office administration, data management/record keeping, clerical and administrative support in a service related capacity.
- Advanced level proficiency with MS Office - Word, Excel, PowerPoint, Outlook and the ability to use/learn database programs.
- Highly effective interpersonal communication skills and customer service focus to establish and maintain positive relationships with clients, staff, visitors, caregivers, community partners, vendors and others who engage the organization.
- Strong organizational and time management skills, with the ability to handle changing priorities and fluctuating volumes of work.
- Demonstrated ability to work effectively independently as well as in a team setting.
- Ability to provide a recent vulnerable sector check is required upon hire.
**Desired Qualifications**
- Prior experience with coordinating worker schedules and assignments.
- Prior experience using business-critical information database systems.
- Demonstrated skill in process development and improvement.
- Valid certification in First Aid and CPR as well as CPI.
- Valid Class G driver’s license.
**Wage Range: $21.38 - $25.82 /hr.**

**COVID Vaccination Requirements**
- DBIS requires that all staff members be fully vaccinated against COVID-19, with the rare exception of those individuals who cannot be vaccinated due to approved exemptions (medical reasons or religious grounds as recognized in the Ontario Human Rights Code).
- All employees must undergo regular rapid antigen testing.
