**YOUR ROLE**

As the Administrative Assistant you will provide comprehensive support to ensure the smooth and efficient operation of the office. This role involves assisting the Operations, Sales, and administrative teams with various tasks, including managing schedules, organizing documents, handling correspondence, and facilitating communication. You will help streamline processes and contribute to the overall success of the team. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.

**YOUR IMPACT**

As an Administrative Assistant, you will play a pivotal role in ensuring the seamless operation of our office. Your primary responsibility will be to provide essential administrative support to both our Operations and Sales teams, ensuring efficient workflows and contributing to the overall productivity of our organization. Reporting directly to Manager, Operations, you will be instrumental in maintaining our office's effectiveness and supporting our teams in achieving their goals

**WHAT TO EXPECT**
- Perform general administrative duties such as filing, typing, copying, binding, and scanning.
- Review documents for accuracy and maintain an organized electronic filing system.
- Coordinate service calls for office equipment, courier services, mail, and photocopiers.
- Manage office supplies and promotional materials, ensuring timely ordering and restocking.
- Assist the manager with building maintenance and parking requests/issues.
- Schedule and organize appointments and meetings as needed.
- Provide reception desk coverage when required.
- Conduct data entry and maintain databases with accurate, up-to-date records.
- Prepare financial, marketing, and renewal reports.
- Maintain confidential records and ensure data integrity.
- Assist with coordinating special projects as assigned.
- Perform additional clerical tasks as needed.

**THIS IS YOU**
- Minimum of 2 years’ experience in an administrative role, with a proven ability to manage tasks efficiently and accurately.
- Strong skills in Microsoft 365 (Excel, Word, PowerPoint, SharePoint, and Teams); experience with office equipment and software tools.
- Exceptional ability to prioritize tasks, manage multiple responsibilities, and maintain attention to detail in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to interact professionally with internal teams and external clients.
- Strong ability to manage schedules, appointments, and deadlines, ensuring timely completion of tasks.
- Ability to troubleshoot issues with office equipment, service calls, and building maintenance, and offer quick solutions.
