**POSITION MANDATE**

This position involves overseeing and facilitating training coordination, as well as handling administrative and financial tasks. This includes helping to register trainees for various training sessions, updating training courses in accordance with market trends and the Canadian Standards Association. Additionally, the position requires providing administrative support to multiple departments, including managing and organizing project documentation.

**Schedule**:20-28 hours/week

**DUTIES AND RESPONSABILITIES**

**Training Coordination**
- Assist with the enrollment of the trainees in the different training sessions
- Send out training invitations, exams, and certificates for each training delivery
- Coordinate and schedule training sessions with the trainers
- Prepare training materials (handouts, manuals, and others)
- Assist in the creation of course material in different formats to support the delivery of training
- Update training courses based on the CSA Standards and other market trends
- Prepare schedule for training sessions across the year and update this on the web page
- Organize travel and accommodations for customer in-person training
- Support in training setup (equipment) if needed

**Administrative Support**
- Performs a variety of administrative tasks for the Training and Continuing Education, Business Development, Sales, and Marketing Department, including document preparation, data entry, maintenance, and storage of electronic project files using databases, forms, files, and spreadsheets, for the preparation and distribution of correspondence, reports, presentations, and other documents.
- Prepare and distribute training report with supervisor
- Order and maintain supplies needed for training sessions and the development of other activities
- Assists customers with any incoming inquiries pertaining to services, current projects being implemented, billing, and/or general coordination of any department related inquiries

**Finance**
- Prepares draft invoicing of the customers, ensuring all related documentation is complete and accurate for invoicing by Finance department.
- Track training expenses relate to cost material, venues, travel and others
- Processing Purchase Orders (Pos) and Online payments
- Provide input on budget preparation for the TCE department
- Undertake other administrative, coordination and financial assignments as requested or assigned_

**QUALIFICATION AND REQUIREMENTS**
- Grade 12
- Reliably commute plan
- Previous experience in administration/coordination positions is preferred

**EXPERIENCE**

A minimum of 1 year of experience in one or more of the following areas, project coordination, administrative assistance, training assistant, training administrator, or related areas, a combination of experience can be considered.

**Job Type**: Part-time

Pay: $22.00-$25.00 per hour

Expected hours: 20 - 28 per week

Schedule:

- Monday to Friday
