What’s it like working as a Deal Administrator at Zolo?
The function of this role is to focus on back office process and execution. The role will manage, maintain and provide a friendly, professional, presentable and helpful environment for all those visiting the brokerage, including immediate team, interviewees, agents and other guests. It is an expectation to provide support to other departments within the organization, specifically: brokerages nationwide, growth management and finance and accounting.

**In this role, responsibilities include but are not limited to**:

- Conveyancing & Real Estate Office Administration
- Managing and processing a high volume of real estate deal transactions
- Updating property listings on TRREB and BCREA/OMREB/RECA where required
- Providing superior customer service
- Corresponding with agents, brokerages, lawyers, builders and cooperating agents
- Providing follow up on closing and commissions
- Preparing trade record sheets and files
- Calculating commissions for real estate transactions
- Preparing and sending commission invoices internally and externally
- Closing out deals when completed
- Assisting in Real Estate Accountant journal entries, reconciliations, Trust Account management and month end closing procedures
- Becoming cross-trained on the British Columbia and Alberta deal conveyancing process and providing backup support and relief where required
- Assisting in Real Estate Accountant journal entries, reconciliations, Trust Account management and month end closing procedures
- Payments and deposits where required
- Office Management
- Assisting in organizing monthly sales meetings where applicable
- Maintaining front office and team shared social spaces (e.g. kitchen)
- Preparing/printing packages for Realtor interviews when required
- Greeting all visitors to the brokerage if and when physically working out of a Zolo Brokerage office or space
- Supporting Accounting & Finance, Administrative and Ad Hoc duties, where required

So are YOU our next Deal Administrator? You are if you
- Have 1+ years of relevant experience in Real Estate Office Administration or other real estate brokerage experience.
- Have 2+ years of recent experience working with real estate conveyancing procedures
- Are tech savvy and proficient in Excel and Word
- Hold or working toward a post-secondary degree in a relevant field

Additional kudos if you
- Are familiar with Lone Wolf or an equivalent software
- Have experience working in a finance department, and understanding of full cycle accounting
- Have experience working at a tech scale-up, in Proptech or Fintech sector
- Can navigate Microsoft Office and Google Workspace within a mixed Windows OS and MacOS environment

**Additional information**:

- Please note this role will be required to be in office 3 days a week.
