**Position Summary**:
Based at St. James and Waterfront Campus, the Welcome Desk Coordinator ensures excellence in service delivery of the Counselling and Accessible Learning Services Welcome Desk and the smooth operation of the office at both campuses. The Coordinator also provides guidance and support to other Counselling and Accessible Learning Services Welcome Desks as needed, for example, providing leadership in new PT staff onboarding, improved protocol information sharing, and coordinating training opportunities for all Welcome Desk staff.
**Key Responsibilities**:
- Staffs front desk and leads front line activity, office operations, Counselling and Accessible Learning Services.
- Oversees day-to-day operations of the Counselling and Accessibility offices, including tracking and reporting on office coverage, staff absences, and participating in departmental meetings.
- Ensures front line staff delivers excellent customer service by mentoring welcome desk staff and assisting them in crisis or high traffic situations.
- Clarifies and keeps up to date booking procedures for all service types including Counsellors, Consultants, Learning Strategists, Adaptive Technologists and Managers.
- Facilitates resolution of complex student issues referred to welcome desk staff.
- Triage and crisis assessment and intervention with “high risk” situations according to departmental protocols.
- Monitors staff absences for Counselling and Welcome Desk and develops a plan to minimize impact on service delivery.
- Schedules and books rooms for manager meetings, team meetings and departmental events.
- Communicates with other stakeholders across the college to market services, solicit feedback, and resolve issues.
- Other duties as assigned.
**Educational and Experience Requirements**:
- Three-year degree/diploma or equivalent from a recognized post-secondary institution in Office Administration, Health Office Admin, Business, or equivalent experience/training.
- Mental Health First Aid, Suicide, AOP, or related training.
- Minimum three (3) years experience in office management in a busy, social services environment serving a diverse population.
- Customer service experience using a scheduling database.
- Knowledge of ASL an asset.
**Skills and Attributes:
- Demonstrated initiative and ability to work independently with mínimal supervision.
- Strong time and project management, planning, and organizational skills; ability to complete tasks and meet deadlines, while working with competing priorities and interruptions.
- Discretion, sound judgement and a commitment to preserving strict confidentiality.
- Able to travel between campuses at least once a week.
- Excellent communication, collaboration, teamwork and interpersonal skills at a professional level.
- Demonstrated commitment to uphold the College’s priorities on diversity and equity.
