**The Opportunity - Front Desk Coordinator**:
As a Front Desk Coordinator, you will be responsible for supporting our 4E philosophy (Exceptional Employee Experiences Every day) by delivering excellent customer service to both internal and external customers, whether in person or virtually. This will be in alignment with FreshBooks' policies, objectives, and values, while also considering Diversity, Inclusion, and Belonging.

As the Front Desk Coordinator, your responsibilities extend beyond being the friendly face that welcomes visitors and answers calls. You will also play a crucial role in assisting with various HR programs and practices. Your exceptional administrative skills will significantly contribute to enhancing the overall efficiency of our office operations. Furthermore, your strong communication skills will be essential in building positive relationships with employees at all levels.

NOTE: This role is **on-site**; the team comes together at our Toronto office, located in the Junction, weekly from Monday to Friday (8.30-5.30 pm)

**What You'll Do as a Front Desk Coordinator**
- Be the "Welcome to FreshBooks" committee to greet and welcome visitors with a warm and professional demeanour.
- Answer and direct incoming phone calls to the appropriate personnel.
- Maintain a clean and inviting reception area.
- Handle incoming and outgoing mail and packages.
- Act as point of contact for travel arrangements, onsite access, visitors, and workstation assessments
- Foster FreshBooks' Culture by participating in the Social Committee to plan and organize onsite, offsite, and virtual events.
- Participate in the Health and Safety committee, ensuring compliance with local and federal legislation and promoting a safe working environment.
- Ensure that appropriate and effective building services are in place, addressing any facility-related issues promptly.
- Collaborate with the Talent Experience team to ensure consistent and high-quality facilities services are delivered globally.
- Ensure that meeting rooms, kitchen facilities, onsite gym, and reception areas are well presented, adequately stocked, and properly maintained, with attention to site-specific requirements.
- Reconcile invoices and expenses on a monthly basis
- Other Administrative duties and projects as needed including occasional lifting of up to 15kg.

- Excellent communication skills (both written and verbal) with the demonstrated ability to communicate effectively across all levels of the organization, considering our diverse employee base.
- Sharp organizational and planning skills, with keen attention to detail.
- A high level of integrity, capable of handling confidential information responsibly.
- Experience in managing front-of-house and reception functions.
- Demonstrated ability to multitask and prioritize to meet deadlines and time-sensitive requests
- Experience with travel management and expense management
- Proficiency with MS Office Suite, G Suite

- Valid local first aid certification
