**Overview**

The Administrator will be responsible for general administration tasks and operations within the office and ensuring the rest of the staff has adequate support to work efficiently. They will play a primary role in ensuring that all office administrative functions are coordinated in order to achieve a high level of productivity within the organization. This position is responsible for ensuring secure handling of sensitive information and maintaining confidentiality.

**Responsibilities**

Office/Facility Management
- Facilitate management of all facility-related maintenance and security concerns.
- Ensure proper maintenance of office facilities and equipment.
- Act as point-of-contact for facility related contractors.
- Oversee scheduling of all facility shared spaces.

General Administration
- Develop and maintain an efficient documentation and filing system for both paper and electronic records in accordance with policy and procedures.
- Ensure accurate and efficient data collection and communication.
- Provide general administrative support to staff as required.
- Support planning staff meetings and keeping meeting notes.
- Produce timely and professional reports, presentations and briefs as assigned.

Finances & Human Resources Support
- In coordination with the Program Manager, monitor and purchase office supplies, equipment, software and furniture.
- Support budgeting and bookkeeping procedures, such as managing petty cash, honorariums, purchases and collect/organize all receipts.
- Assist Finance with file organization, help with audit, and assist with QuickBooks.
- In coordination the with Program Manager, ensure the on boarding / off boarding of staff, as well as ongoing staff training.
- Call and document reference checks.

**Requirements**:

- High school diploma; Bachelors in business, administration or a related field is preferred.
- Proven experience in an administrative role or as an office clerk is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal, to interact with diverse stakeholders.
- Familiarity with grant management practices is a plus.
- Experience in budgeting or financial tracking is desirable.
- Ability to work collaboratively within a team environment while also being self-motivated.
- A commitment to continuous improvement and professional development within the role.
- Knowledge and experience with supporting diversity and creating an inclusive workplace.

**Culture Notes**

The IRC Program is a recovery-oriented, community-based and culturally informed recovery coach program, supporting adults undergoing opioid agonist therapy (OAT), also known as medically assisted therapy (MAT), for opioid addiction in Lethbridge. The program combines one-on-one community-based transition / navigator services with peer support services and culturally-focused healing. IRC offers compassionate, confidential, and non-judgmental care to our participants, and responsible, responsive, and evidence based service to our community.

Pay: $50,000.00-$60,000.00 per year
