**Position Job Title: Financial Aid Officer**

**Reports To: Associate Director, Financial Aid & Associate Director, Student Services**

**Starting Salary: $45,000**

**Job Role**

This position requires excellent interpersonal skills, detailed knowledge of our programs, and a dedication to helping students succeed. As this is a front-line student affairs position, the incumbent will be required to report on-campus full-time.

**Key Responsibilities**

**Student Finance Administration**
- Prepare reports and records daily;
- Ensure all student payment plans are up-to-date on the system and collect money from students for tuition fees;
- Allocate payments for student transactions on student information database;
- Allocate payments via cheque, cash, bank transfer and card on database and issue/share receipts;
- Allocate refunds, credit notes, and agent commission on the company's database;
- Maintain an Excel spreadsheet of all deposits and credit card payments to be transferred;
- Assist with summarizing payments to be transferred out of Trust account after intake;
- Process financial transactions for students including but not limited to tuition payments, health insurance fees, exam fees, module re-take fees;
- Maintain records of payments made, upcoming payments, and any changes to installment plans from contract amendments for all current students;
- Notify students of overdue payments and following up accordingly;
- Notify recruitment advisors of missing agency payments and follow up accordingly;
- Fill out payment tracker for daily POS transactions;
**Financial Aid and Student Support**
- Assisting students in understanding the rules and regulations for StudentAid BC;
- Providing initial financial aid counselling as required by StudentAid BC regulations;
- Maintaining a separate StudentAid BC repository for actively enrolled students

**Operational Support Duties**:

- Performing administrative duties under the management team upon request;
- Updating student profiles in student information system and other data entry tasks;
- Maintaining the general filing system and filing correspondence where appropriate; and
- Other Student Finance tasks as required by the Associate Director, Student Services/Registrar

**Position Requirements**
**Education and Experience**:

- A post-secondary diploma in a finance or accounting background is required;
- Minimum of 1 year of bookkeeping;
- Minimum of 1 year of front-line customer service experience required, preferably in a College environment;
- One to two years’ experience in international contexts is recommended;
- Experience working in an intercultural environment is required;
- Experience with client relations management software and marketing/communications software is recommended;
- Experience with cross-functional and cross-departmental projects is required

**Knowledge and Skills**:

- Strong communication skills in all forms including written and oral;
- Willingness to learn and receive constructive criticism is vital to succeed in this role;
- Intercultural competence or successful experience in intercultural settings is required;
- Astute attention to detail is required to succeed in this role;
- Must be able to work in a fast-paced environment with many deadlines;
- Self-motivated, proactive, and able to work independently and under supervision

**Additional Information**:

- This position is required to report onsite and is not eligible for work-from-home accommodations
- Vacation black-out dates include Orientation and Registration weeks (2 weeks during Winter, Spring, and Fall intakes), Convocation Day, and other related major student activities.
