**Position Summary**

Reporting to the Director of Finance, the Purchasing and Office Coordinator is responsible for coordinating purchases and related administrative tasks across all departments, and for coordinating administrative tasks related to the smooth functioning of organizational office spaces and administrative functions.

**Responsibilities**:

- Coordinate purchases and perform related administrative tasks across all departments (sourcing and reviewing suppliers/vendors, negotiating prices, requesting invoices, resolving billing discrepancies, coordinating deliveries/returns, maintaining accounts information, tracking purchases)
- Support all departments to plan appropriately for purchases (timing, quantity, supplier, etc.)
- Obtain quotes/estimates as needed, follow organizational policies and procedures to select appropriate vendors/suppliers, administer declarations of no conflict of interest
- Coordinate periodic inventory checks of capital purchases, fixed assets, and other equipment/supplies across departments
- Track product information and warranties for equipment purchases
- Coordinate requests for Insurance Certificates
- Complete expense reconciliations for Management
- Coordinate regular work related to copiers, fax, paper shredders, water coolers, etc. to maintain smooth office operations
- Support the review of purchasing practices across departments, suggest ways to increase efficiency, resourcefulness, and ensure reasonable use of organizational resources
- Support the budgeting of capital expenses, timing of equipment replacements, etc.
- Perform data entry as needed
- Ensure all applicable policies and procedures are followed, and created/updated appropriately to reflect reasonable and ethical practices
- Assist with the creation, preparation, and maintenance of required reporting and specification documents
- Perform other duties as assigned, including but not limited to phone call inquiries, planning and minute taking of meetings, developing and maintaining filing systems, spreadsheets, etc.

**Qualifications**:

- 2+ years of experience in a purchasing and administration role
- 2+ years of experience in a nonprofit, preferably multi-service
- Completed post-secondary education in a relevant field preferred
- Ability to work in MS Office Suite, especially Excel
- Exceptional communication and negotiation skills, both written and verbal
- Experience with data entry an asset
- Self-motivated and thorough, with excellent attention to detail
- Strong organizational skills and time management skills

**Compensation and Hours of Work**:

- $44,000 per year
- Mon to Fri, 8:30-3:30, 35 hrs/week
- Open to hybrid work after probationary period (3 months)
