**Purpose of the Job**

The administrative assistant will be responsible to run the office efficiently. The person should be experienced in managing the office and ensure that the company policies are being adhered to at all times. They will be responsible for the day-to-day activities in the office and will be reporting directly to the Director.

**Roles and Responsibilities**:
The administrative assistant will be responsible to carry out the following duties:

- Coordinate all office activities and ensure adherence to company policies
- Coordinate meetings, appointments and be the first point of contact for the patients
- Schedule the consultation on phone or in person and ensure the timely execution of the service based on the urgency of the matter
- Handle and process all the incoming and outgoing communication and ensure the effective dissemination of the information
- Provide general administrative support and maintain office equipment, supplies and place orders for replacement
- Answer phone calls, obtain required documents and information and deal with concerns in a timely, professional and empathetic manner
- Keep the database updated at all times and enter new information, generate regularly scheduled reports for the doctors
- Carry out other administrative duties like filing, binding, scanning and maintaining filing systems.
- Arrange the documents delivery and couriers and maintain records
- Submit billing to AHS and coordinate with the insurance agencies
- Assist as a scribe for history, examination, assessment and plan as per SOAP note

**Education, Skills and Experience**
- High school or related work experience
- 2 or more years of work experience in office administration
- Able to work in a stressful, high paced environment to satisfy the vulnerable patient population and their families
- Able to speak, read and write in English language
- Have knowledge of basic medical terms, pharmacological terms.
- Able to work with medical EMRs
- Able to assign priority based on the medical need of the patients.
- Typing speed of 40 to 60 wpm

**Working Conditions**
- The working hours will be Monday to Friday for 37.5 hours
- May be required to work some overtime hours to attend meetings or year end reconciliations**.**
- Will report directly to the Director.

**Position Offers**
