**Position Summary**

The Administrative Program Assistant - Chinese (APA) acts as the Centre’s cultural and linguistic link between Chinese-speaking individuals, the community, and a range of other local not-for-profit and service providers.

The Administrative Program Assistant - Chinese (APA) supports the development of community engagement strategies and program development that promote a thriving and sustainable community, The APA will develop working relationships with Chinese speaking community members, community organizations, and local businesses to identify partnership opportunities, creating and managing relationships with community resources.

Reporting to the Business Manager, and working with other members of the Cecil Centre Management Team, Coordinates, oversees, and performs a wide variety of administrative, secretarial, and program support activities on behalf of management and staff at the Centre. The Admin Assistant serves as the primary point of operational and administrative contact for internal and external stakeholders, and members entering the Centre. Answers the telephone, directs calls and provides information as required. Analyzes and improves office processes and practices, and ensures that the front desk operates smoothly.

**Administrative Program Assistant Duties and Responsibilities**:

- Assists with the development, implementation and evaluation of programs and special events which includes scheduling, supervising, registration, liaising with community groups, coordinating outings, and soliciting donations.
- Performs reception duties by answering the phone, handling counter inquiries and redirecting inquiries to appropriate personnel.
- Serves visitors by greeting, welcoming and directing them, notifying centre personnel of visitors’ arrival, maintaining security and telecommunications.
- Develops and maintain up-to-date knowledge of the Centre’s programs, services and special events
- Allocates and schedules Cecil Community Centre rooms and equipment for internal and external groups.
- Identifies, analyzes and responds to Chinese speaking community needs, providing community outreach, and making recommendations to improve programs, and for new programs in conjunction with the Program Manager.
- Establishes and maintain relationships/partnerships with community networks/stakeholders etc.
- Provides Chinese language information and responds to inquiries, issues and concerns from staff and community members.
- Collects membership and program fees when necessary.
- Supports the maintenance of an up to date _Front Desk Operating Manual_ ensuring accurate Centre information to ensure easy access to information for referral purposes.
- Prepares, receives and sends mail and couriered materials when covering reception.
- Provides absence coverage for full-time Front Desk Administration when necessary.
- Prepares Chinese language correspondence, promotional materials, documents, charts, and reports, forms etc., and provides Chinese language translation for the above.
- Assists with the orientation and training of part-time and relief reception staff and volunteers as required.
- Provides Administrative support to the Executive Director and Management Team.
- Liaises with various community groups (Chinatown BIA, Friends of Chinatown, Yonge Street Mission, etc.)
- Provides Chinese language resources and information to members of the community according to their needs and stays informed of all current activities, trends, research and significant issues relevant to the Centre’s programming, Chinese speaking participants, staff, and volunteers, and attends relevant meetings and workshops when appropriate.
- Other related duties as assigned by management

**Requirements**:

- Post-secondary academic background in Office Administration or combination of education and experience
- Minimum 3 years of experience in administrative support roles
- Experience working with diverse and marginalized populations
- Knowledge of the Kensington-Chinatown neighbourhood
- Knowledge of available local community resources
- Ability to establish priorities, work independently, and proceed with objectives without supervision
- Proficiency in speaking English is important in this role

**Hours and Wages**:20hrs (Part-time)Starting at $25.29/hour (Wage grade 8 - CUPE Local 2998)
