**Job Summary**

A Busy Burlington based 40 person Architectural and Construction Firm working across North America requires someone to work in our accounting department.

**Responsibilities and Duties**

At the start of the project set up project in Jonas software

Construction manager will provide the construction budget in Jonas format with all cost codes, clerk inputs this and the budget is produced

The input of committed cost occur as the project progress, the objective is to secure the majority of contracts early

Most contract require a schedule of values form which the trade will invoice against. the schedule of values is prepared by the trade and reviewed by the co-ordinator. The co-ordinator will provide the template breakdown to the trade to be completed. The schedule of value should be prepared and finalized at the time of contract preparation

The clerk will request the required insurance certificate, form 1000 ( maybe other items also) clerk receives it, make sure that the information is correct and then keeps this information on file

At the end of each month the clerk receives invoices for the work and cost codes the invoice to to the job cost report.

If an invoice is received for extra work and there is no change order in place, the clerk advises the co-ordinator of situation and the co-ordinator will prepare the required change order. The clerk advise the trade that until the change order is approved the invoice will not be processed.

By about the 5 th of every month the clerk prepare the draw for review and approval of the cm.

The draw is then submitted to the owner which in turn submits to the lender

The clerk checks the at cheque amount matches the cash requirement and then gets for the trade a stat dec and wsib clearance every month. also checks that all insurance requirements, form 1000 have all been submitted

The clerk then advises the trade the cheque is ready and either they pick up, trade send courier or mail

At the end of the project the release of holdback. The contraction manger will determine substantial completion and the clerk will prepare the form for the cm to sign. The substantial certificate is then published by the clerk.

The clerk prepares a draw for the holdback money and submits to the owner.

Previous experience in Construction/Architectural accounting, specifically Jonas Software would be beneficial but not necessary.
