ADMINISTRATIVE ASSISTANT

Role Summary

The Administrative Assistant, is responsible for the processing and administration of investment and insurance products, as well as managing scheduling for the advisors. The role has a large emphasis on client service, outbound calling to clients, follow ups, and building relationships with clients. It is fast paced with multiple demands and requires a demonstrated regard for confidentiality, organization, accountability and a high level of judgement and critical thinking to solve for solutions. RMB Financial Solutions Inc. is contracted with Sun Life Financial, but the administrative assistant will be employed by RMB Financial Solutions Inc. directly.

Key Accountabilities
- File prep for meetings
- Investment account paperwork and openings
- Phone calls to clients to book appointments
- Processes administration (i.e. new business, submitting forms, etc), documents and follows up to ensure completion of cases.
- Manage and expedite the insurance underwriting process
- Address client requests related to their accounts (i.e. preparing statements - tax, reports, etc)
- Documenting practices that meet compliance requirements
- Investigate and solve administrative issues accurately and completely
- May perform other administrative duties as required

Job Specific Knowledge
- Valid Mutual Funds License (IFC) is an asset but not required
- Valid Life License (LLQP) is an asset but not required
- If Mutual fund and life licenses are not currently held, they would be required within 1 year
- Knowledge of industry back-office practices is an asset but not required
- Knowledge of compliance rules and regulations is an asset but not required
- Experience with Salesforce is an asset but not required
- Familiarity and experience with Sun Life Financial an asset but not a requirement

Salary starts at $40,000 and will be based on level of experience and qualifications. Benefits after 3 months. Potential bonuses based on team performance.
