- Able to commute to our office in Victoria, British Columbia

Finance Administrator

We are looking for a Finance Administrator to manage our company’s accounts payable and receivable, payroll, and oversee our general office functions.

Responsibilities include reviewing and reconciling accounts, processing payments to external partners and maintaining updated records of invoices and receipts. Monitoring office access, incoming and outgoing mail, updating the team on personnel location, assisting with expense reconciliations, managing travel requirements, and streamlining communication between teams.

To be successful in this role, you should have a Finance or Accounting background and be familiar with bookkeeping; have excellent interpersonal skills; be proficient with Office suite software; and enjoy completing a variety of tasks daily. Ultimately, you will ensure we process all financial transactions accurately and on time and assist our team with office related functions.

**Responsibilities**:

- Manage Payroll processing and onboarding for new employees
- Manage obligations to suppliers, customers and third-party vendors
- Process bank deposits
- Reconcile financial statements
- Prepare, send and store invoices
- Contact clients and send reminders to ensure timely payments
- Submit tax forms
- Manage monthly journals, update entries and maintain sub ledger for fixed assets
- Identify and address discrepancies
- Report on the status of accounts payable and receivable
- Update internal accounting databases and spreadsheets
- Monitor mailbox and ensure timely incoming and outgoing postage

**Requirements**:

- Experience with ‘Xero’ accounting software is preferred
- Experience with ‘Knit’ payroll software is preferred
- Proven work experience as an Finance Administrator or similar role
- Good knowledge of bookkeeping procedures
- Advanced knowledge of Excel (using financial formulas and creating spreadsheets)
- Solid data entry skills with an ability to identify numerical errors
- Good organizational and time-management abilities
