- Calendar management
- Coordinate travel for employees
- Expenses/corporate credit card reconciliation
- Coordination of Standards and Codes library
- Proofreading, formatting documents
- Creating Purchase Orders/Requisitions (using JDE system)
- Transcribing meeting minutes/notes and dissemination to team members (back up to the Executive Assistant and Administrative Manager)
- Other ad hoc administrative duties as assigned
- Assist other departments (such as Premises) as/when time permits
- Process business card orders
- Receptionist duties:_
- Create agendas and coordinate catering for outside visitors
- Process catering orders as required, ensure enough supplies (plates, utensils, glasses, mugs, etc.) are available; clean up as required after meetings
- Manage the reception desk and associated duties (e.g. daily mail run)

- Ensure meeting rooms are always kept clean/tidy
- Coordinate couriers
- Provide visitor badges
**Health & Safety Responsibilities**:
- Promote Westport’s H&S culture following all Environmental, and H&S procedures and understanding your obligations and responsibilities
- Report unsafe conditions, behaviors and all accidents
- Co-operate with JHSC (Joint Health & Safety Committee) and Safety representative
**Position Requirements**:
- High school diploma or equivalent
- 3-5 years of professional administrative experience
- Excellent written and verbal communication skills
- Excellent attention to detail and organization skills
- Proficient in the English language (Written and Spoken)
- Self-starter and ability to take initiative
- Positive attitude and willingness to learn
- Good problem-solving skills
- Able to communicate with all levels of management
