General Scope* This position reports directly to the Executive Director, but guidance may also come from the Board of Directors. This position coordinates with the Executive Director to:

- administer programs,
- manage member relationships (both individual and organizational,)
- help facilitate sub-committees of the Red Deer Arts Council for local and regional artists, and
- collaborate with other arts organizations to build community through arts and culture programming. Hours of work are 32 - 40 hours per week to be determined. Gallery/office business hours range from 10:00 am to 5:00 pm on weekdays. Additional work hours during evenings and weekends will be required to host shows, workshops, and events. To avoid overtime, daytime hours will be adapted accordingly. Occasional overtime may be required as assigned and will be awarded as time in lieu and must be approved by the Executive Director and will be compliant with current provincial laws. These will not be ‘flex hours.’ This position may also work closely with the Board and Committees during major projects and provides administrative and program support to the Executive Director. Support bylaws, metrics, policies, and procedure development with the RDAC as the organization continues to develop and expand. Assist with developing, implementing, and coordinating Board Approved programs. *Compensation: *$22.00/hr to begin. As a full-time employee, a parking stall will be provided downtown, mileage outside the city limits will be reimbursed, and a portion of your medical benefit premiums will be reimbursed after proof of payment, after 6 months of continued service to the organization. *3. Liaise with Staff, Members, Volunteers and Community Organizations*
- Serves as ex-officio member on Board Committees in lieu of the ED, as required.
- Provides an update on continuing projects to ED for distribution at board meetings.
- Communicates with ED regarding any items that should be included in draft board agenda. May be required to provide an independent report on occasion.
- Works in collaboration with internal and external partners on special projects, working committees, programs, marketing, event planning, programs, fundraising, and sponsorship activities.
- Liaise with the Executive Director, staff, and community organizations as assigned.
- Make recommendations to ED regarding potential changes to programming direction; gather and relay feedback from artists, stakeholders, and community. *4. Administration*
- Offer welcoming and informative reception to visitors to the office and art gallery. These people may include: walk-in guests, people attending events, gatherings, and meetings. Set up of meeting space may be required.
- Work in collaboration to maintain cleanliness and functionality of the office space.
- Researching grant opportunities for operational and project funding.
- Website maintenance and data entry, keeping information up to date.
- Assist with documenting processes, procedures, and organizational information. *5. Finance*
- Preparing donation and membership receipts through Customer Relationship Management software, handling sales made in the office/gallery, cash payments, Square, PayPal, and other transactions.
- Keeping organized records of the RDAC’s activities for administration, audit, archival, and marketing purposes.
- Data entry for financial reporting, ensuring that accurate records of accounts are maintained when working with bookkeeper and ED.
- Monitor expenditures in accordance with the approved budget and prepare financial documents each month for Board reports.
- Assist in organizing the audit committee, comprised of RDAC members, to review financial records annually. The Treasurer and Executive Director monitor this process and are present for answers, as needed. *6. Marketing and Community Connections*
- Communicating with sponsors, donors, members, stakeholders, and partner organizations as directed. These communications may include confidential discussions and must be managed appropriately.
- Drafting and scheduling media releases and PSAs.
- Help maintain and update the Council’s web page(s) and create, schedule, and post branded content for social media and marketing purposes based on the strategic marketing plan.
