Administrative Assistant

As the Administrative Assistant, you will be responsible for various tasks to ensure the office runs smoothly. This will include preparing documents for permits, communicating with customers, keeping the CRM updated, light bookkeeping, and assisting the Office Manager.
**Job Duties & Responsibilities**:
- Prepare, send, and manage the various documents required to obtain permits and approvals.
- Coordinate and manage appointments with clients, subcontractors, installers, and salespeople.
- Maintain CRM and ensure all notes, photos, permits, etc., are up to date.
- Sending post-installation documents & invoices to customers.
- Assisting with accounts payable & receivable.
- Generate reports for open jobs, payroll, and inventory.
- Fleet management; responsible for booking service appointments, vehicle registration dates, fuel cards, etc.
**Qualifications**:
- Completion of an office administration course would be considered an asset.
- Minimum of 2 years experience in office administration.
- Experience in the solar industry or other service trades would be considered an asset.
- Good working knowledge of MS Office & Google Workspace.
- Previous experience working with and maintaining a CRM database.
- Excellent knowledge of social media platforms.
- Must be mature and responsible with a strong work ethic.
- Must be a self-starter that is able to work independently.
- Must have excellent written and verbal communication skills.
