**HOURS OF WORK**: 40 hours per week, Flexibility is required based on program needs.

**REPORTING LINE**: Chief Executive Officer

**WAGE**: $26.44/hr

**POSITION DESCRIPTION SUMMARY**:
The Events & Marketing Coordinator is a full-term position, continuing role that reports to the Chief
Executive Officer and is part of the Community Impact Team. They will be responsible for convening
conversations, informational sessions and educational opportunities linked to the YWCA Lethbridge &
District’s strategies and other local emerging issues. This is an exciting opportunity for someone who likes to
support a broad portfolio of fundraising, community engagement and volunteer management. The successful
must possess a keen eye for detail, be extremely organized, proficient in using donor software, willing to be a
champion for capturing and actioning information, and genuinely interested in supporting people across our
region.

**POSITION DUTIES & RESPONSIBILITIES:
**1. Agency**:

- Attend training opportunities.- Attend department staff meetings.
- Participate in general office maintenance and upkeep.
- Conduct all work in a manner consistent with Board and Personnel Policies.
- Attend Community Outreach Events.
- Attend other nonprofit events and networking events.
- Additional duties as requested.

**2. Special Events**:

- In conjunction with the External Relations team coordinate the agency's special events,

including, but not limited to the annual Women of Distinction Awards, YWCA Gala and other
campaigns and promotions.
- Work closely with staff, management, volunteers and donors.
- Participate in committee meetings.
- Prepare correspondence as needed.
- In conjunction with the External Relations team, reconcile event billings, maintain detailed
- files, budget and timelines for each event.- In conjunction with the External Relations team, organize event logistics, i.e. sites, vendors,
- food, decorations, lighting/sound, speakers, etc.- Respond in a professional and timely manner to inquiries.

**Events & Marketing Coordinator
- Develop print concepts, coordinate production and mailings.
- In conjunction with the External Relations team, secure sponsorship and underwriting
- agreements.- Maintain organized and detailed documents and records.
- Negotiate with vendors.
- Evaluate all special events and make recommendations for improvements, increased

fundraising and community outreach.
**3. Volunteers**
- Recruit volunteers as needed for programs, internships and special events.
- Arrange and coordinate volunteer orientation/training.
- Manage volunteer services and recognition.
- Maintain volunteer database and files including assimilation of monthly statistics.
- Recruiting and placement of Interns
- Additional duties as requested.

**4. Marketing**
- Maintain organization website with updates, announcements, pictures, etc.
- Contribute to a vibrant and growing multi-platform social media presence.
- Press releases for agency.
- Prepare reports and presentations for external stakeholders.

**KNOWLEDGE AND SKILLS:
- Proficient in Microsoft 365, including Word, PowerPoint, Excel, SharePoint, and Outlook.
- A capacity and aptitude for continuous learning with exceptional attention to detail.
- Ability to work in a fast-paced environment.
- Strong oral and written communication skills.
- Proven experience in event planning and execution.
- Ability to manage projects simultaneously.
- Savvy user of social media
- Proficiency in Canva and Meta Business Suite is an asset.
- Knowledge, experience, and understanding of CRA guidelines for charities is an asset.

**QUALIFICATIONS:
- Post-secondary education in Communications, Marketing, Event Management, or related

field/experience.
- 3+ years of working experience with at least 2 years of marketing and event management experience
- Clear Criminal Record Check
- Clear Child and Youth Intervention Record Check
- Valid First Aid Level C with AED & CPR
