Office & Accounting Assistant

**Overview**:
We are seeking an organized and versatile Office and Accounting Assistant to manage office tasks, assist HR and accounting with data entry and records, coordinate shipping and receiving, and maintain a clean, efficient facility.
**Key Responsibilities**:
**Administrative Support**:
- Manage office supplies (restocking, ordering from vendors), oversee Amazon account, and handle errands in Burnaby/Vancouver area (e.g., package pickups and food ordering).
- Organize company functions (employee birthdays) and support various departments with reports, paperwork, and general tasks.
- Coordinate services like IT, utilities, and cleaning.
**Reception Duties**:
- Answer calls, take messages, greet visitors, and maintain a professional reception area.
**Accounting, Invoicing, and Data Entry**:
- Create/send invoices, process payments, follow up on balances, and assist accounts receivable.
- Organize accounts payable documents and manage data entry for supplier/subcontractor invoices and job costing.
- Use accounting software (Sage preferred) for purchase orders, reporting, and financial record-keeping.
- Coordinate with finance on reports and billing inquiries.
**Shipping, Receiving, and Inventory**:
- Handle incoming/outgoing mail, deliveries, and courier coordination.
- Inspect deliveries, update inventory, and organize warehouse materials.
**Facility Maintenance**:
- Ensure cleanliness and safety of outdoor areas, manage trash disposal, and coordinate waste/recycling pickups.
**Qualifications**:
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with accounting software (e.g., Sage) is an asset.
- Prior experience in administrative, clerical, or accounting support roles is preferred.
**Job Types**: Full-time, Permanent
Pay: $45,000.00-$60,000.00 per year
