Construction & Service Coordinator

- Service & Construction Coordinator_
**_Reports to:_**
- Manager - Accounting_
**_Job Summary:_** _The Coordinator is responsible for the day to day scheduling and tracking of existing work orders. Also, the Coordinator has a key role in assisting the Sales Manager with developing our recurring business strategies. The Coordinator is a key component to providing our customers with timely and effective services. Interaction with our customers on a daily basis makes us distinctive from our competition._
- Key Responsibilities: _
- _Organize and track existing Work Orders_
- _Ensure all Work Orders are scheduled_
- _Create new work orders within our on-line system_
- _Organize times with customers to perform work _
- _Request quotes from suppliers and sub-contractors._
- _Send Work Order to the appropriate employee(s) or sub-contractor_
- _Follow-up with employee(s) or sub-contractor to ensure work is completed_
- _Ensure all associated paper work, sign in, signatures are received_
- _Follow-up with customer that work is completed as expected_
- _Re-schedule any necessary follow-up work_
- _Send completed jobs to accounting department for invoicing ensuring all relevant information is in place (materials, subs, time, etc) _
- _Flag and identify any delayed work orders and assist the team in having these scheduled and completed in a timely manner._
- _Work closely with the accounting group to prepare for invoicing_
- _Prepare weekly reports for specific customers and management_
- _Work with Vendors to realize best practices and cost base going forward to keep a competitive position in the market place._
